Job description
This is a one (1) year 100% contract position. This appointment may be extended or converted to career status based on the needs and funding of the department.
THIS POSITION REQUIRES A VALID CALIFORNIA DRIVERS LICENSE.
A department of UC San Diego, Scripps Institution of Oceanography is one of the oldest, largest, and most important centers for ocean, earth and atmospheric science research, education, and public service in the world. Research at Scripps encompasses physical, chemical, biological, geological, and geophysical studies of the oceans, Earth, and planets. Scripps undergraduate and graduate programs provide transformative educational and research opportunities in ocean, earth, and atmospheric sciences, as well as degrees in climate science and policy and marine biodiversity and conservation. Scripps operates a fleet of four oceanographic research vessels and the research platform FLIP making up one of the largest academic fleets in the world.
This position works closely with colleagues across Marine Sciences, Birch Aquarium, University Development, and Advancement on high-level projects to ensure effective and efficient strategic planning, execution, and evaluation on a wide variety of Marine Sciences Development- related priorities, programs, and projects, alerting management and proposing solutions to increase efficiency and identify opportunities to optimize the fundraising activities and overall goals.
Minimum of five (5) years of experience in an operational or administrative role working in a fast-paced, collaborative environment.
Proven administrative ability to supervise and provide direction to staff and volunteers in accomplishing established goals and objectives and maintain office activities with respect to established procedures and guidelines.
Demonstrated knowledge of accounting principles and practices for financial analysis of budgets. Experience in producing financial and expense reports, purchasing, accounting, Skill to monitor financial activities and transactions for report generation, purchasing, travel vouchers, accounts payable, and accounts receivable.
Knowledge of the techniques of donor/prospect research with the ability to extract and distill pertinent/critical information from multiple sources.
Knowledge of common organization- or research-specific and other computer application programs. Expert level of experience using MS Office applications especially Word, Excel, and PowerPoint. Ability to learn new and upgraded software and apply skills to current workload/project work.
Strong policy analysis techniques. Demonstrated ability to assess procedures and define requirements to streamline business process and result in productivity improvement.
Strong communication and interpersonal skills to communicate effectively, both verbally and in writing. Excellent interpersonal skills including tact, diplomacy, flexibility and skills in dealing with politically sensitive situations.
Ability to use discretion and maintain all confidentiality.
Analytical / problem-solving skills. Demonstrated ability to analyze information, situations, problems, policies and procedures; ask critical questions to gather all required information; identify potential solutions; apply solutions and formulate logical and objective conclusions from data and observations; communicate conclusions to a variety of personnel at various levels.
Strong skills in analyzing, researching and synthesizing large amounts of data for preparing sound and relevant proposals / analyses.
Ability to multi-task with demanding timeframes. Demonstrated ability to organize workload and manage priorities; manage multiple projects simultaneously; be flexible to respond in stressful situations and unexpected job demands with frequent interruptions and minimal supervision.
Excellent written communication skills to compose reports, presentations, summaries, briefings, memos, administrative policies and procedures, and donor correspondence.
Ability to maintain accuracy and focus with attention to detail in fast-paced, highly-collaborative environment with dynamic priorities.
Experience coordinating complex scheduling and domestic and foreign travel arrangements.
Demonstrated outstanding ability to partner with diverse staff and administrators across the university to achieve project/program objectives through consensus-building, customer service orientation, and shared ownership of outcomes.
