Summary
The Childcare Network is the resource and referral agency for the 16 counties of Northern Virginia. We provide professional development and support over 3000 providers. We also are a USDA sponsor for family child care providers, and a sponsor for the Al?s Pals program for child care centers. Our administrative assistant would provide general administrative support to all of these programs. The Administrative Assistant reports directly to the Executive Director. The Administrative Assistant is an organized, responsive, and resourceful professional who is passionate about The Childcare Network?s mission, a strong communicator and project manager, and highly proficient with a range of professional workflow applications.
Duties - Research and respond to inquiries in-person, by phone or email.
- Initiates and maintains frequent and close working relationships with local and regional team members throughout the organization.
- Works closely with designated Office Coordinator to ensure all local business office activity adheres to current policy and protocol.
- Performs basic administrative front desk functions.
- Communicates with leadership team members and/or others regarding day-to-day situations requiring management involvement.
- Tracks and maintains a variety of reports in a timely, highly accurate manner.
- Responsible for tasks associated with maintaining phone system and IT equipment utilizing help desk staff.
- Attends and participates in trainings and scheduled meetings, as needed.
- Support special project work at the request of other team members, including desk research, presentation creation, or similar.
- Assist with scheduling training and events.
- Maintain a working knowledge/competency of appropriate systems and applications, including Word, Adobe, Excel and Outlook.
- Exhibit a willingness to learn the USDA food program procedures, and be able to complete the monthly requirements for the program.
- Performs other duties as assigned including, but not limited to, copying, front desk support, scanning, shredding, mail distribution, metering outgoing mail, restocking supplies, and phone system coverage, etc.
Requirements - Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
- Professional customer service and communication skills.
- Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.
- Ability to communicate with multiple stakeholders, for example child care providers, vendors, coworkers.
- Ability to manage projects with limited supervision.
- Able to work effectively with others in person and in group setting.
- Able to prioritize, manage time, and meet deadlines.
- Able to interpret verbal and/or written instructions at a proficient level.
- High School Diploma or GED required.
- At least one year of directly related or closely related experience.
� Must be able to pass a background check.
� Must have a valid driver?s license, and ability to be legally employed in the United States.
Nice To Haves Associate?s degree preferred.
- Knowledge of the USDA food program preferred.
- Experience working in an early childhood setting preferred.
