$15.00/hr minimum - $18.75/hr maximum (range increases based on education, experience and certifications)
Responsible for providing administrative and clerical support essential to efficient organization of The Regional Hospital Coordinating Center for IDPH PHMSR Region V.
Role Specific Responsibilities
- Assist with organizing and facilitating coalition-level healthcare preparedness activities to enhance health care surge capacity and regional capability.
- Coordinate and collaborate with private, public and other state agency partners to establish and foster partnerships related to implementation of regional health care surge initiatives impacting the health care sector.
- Assist with development of the Healthcare Coalition (HCC) All-Hazards Emergency Response Plan components based on the Health Care Preparedness and Response Capabilities, regional hazard vulnerability analyses, regional After-Action Reports and Improvement Plans (AAR/IPs) and Regional Hazard Vulnerability Analyses/ Risk Assessments (HVA).
- Assist Action Team Chairs with promotion and implementation of team activities.
- Coordinate community outreach activities, including “Stop the Bleed,” which promote resilience of the entire community. May also instruct within the Stop the Bleed Program as needed.
- Participate in the development of statewide tools, plans and frameworks applicable to the HCC.
- Support notification and response needs of the HCC.
- Function as the Center Support Section Lead during activation of the regional hospital coordinating center during exercises and real-world events.
- Become a subject matter expert in the various administrative processes within the department.
- Greets visitors, answers telephones, and relays messages to appropriate staff members.
- Deals discretely with sensitive, confidential information concerning professional affairs, personal performance of staff and confidential information concerning department and/or system affairs, information contained in minutes, letters and other documents.
- Sort and distribute department mail. Open, sort, review and prioritize mail. Bring priority items to supervisor’s attention.
- Establish, and revise filing system. Classify, sort and file correspondence, records, and other documents.
- Coordinate & schedule all activities related to meetings, conferences, appointments, travel arrangements & maintain supervisor’s calendar.
- Prepare correspondence, memos, reports, minutes, agendas, etc. Proof all typed materials, make corrections and recommended changes. Fax, photocopy and distribute material as directed.
- Maintain departmental equipment and supplies. Order supplies/materials as needed within allotted budget.
- Assist in preparing and maintaining department budget and participates in day-to-day fiscal decisions.
Education
- Associates degree in healthcare related field or emergency management
Licenses and Certification
- Emergency Medical Responder (EMR), or ability to obtain within 1 year.
- Relevant Incident Command System (ICS) training and certification in accordance with IDPH Level 3 Training for programmatic staff working on HPP and/or PHP grants, or ability to obtain within 1 year.
Experience and Skills
- Technical Experience: Three years
