LOCATION AND CONTACT INFORMATION

Location: Wildwood Service Center, St. Petersburg - Pinellas County

Starting Salary: $1,356.00 Bi-Weekly. (In accordance with current spending restriction, an internal promotion into the position will be filled at the minimum of the pay grade or up to 5% of the employee’s current rate, whichever is higher.)

DUTIES AND RESPONSIBILITIES

Responsible for fiscal duties. Serves as the Purchasing Liaison for goods and services. Monitor the system daily for purchase card charges. Ensure that required documentation is accurate and complies with state and department purchasing rules. Prepare Purchase Orders and review My Florida Market Place requisitions. Provide support, guidance, and technical assistance to circuit staff regarding purchasing procedures. Responsible for the travel arrangements and travel vouchers of the Circuit administrative staff. Prepare reports for Circuit Chief Probation Officer of circuit expenditures. Maintains circuit purchasing card compliance and timely payment of invoices. Coordinates and facilitates Circuit purchasing for Circuit 6 probation units.

Responsible for property management. Serves as General Services Liaison. Performs weekly inspection of state-owned building to identifying issues which may adversely impact operations and/or the safe working environment of staff. Requests estimates for repairs and submits facility work orders with the approval of the Chief Probation Officer or designee. Performs general and preventative maintenance tasks as needed, including but not limited to replacing ceiling tiles and light bulbs. Performs janitorial duties as needed, including but not limited to empty all trash and sanitize trash receptacles; sweep and mop floors, clean all glass windows and doors, sweep leaves and/or bugs on outside entrance doors, wipe down or wash any soiled walls or chairs, dust conference room tables and reconfigure the table and chair settings. Conduct fire drills and monitor the status of safety equipment throughout the circuit.

Responsible for Records Retention. Serves as Records Technician. Organize and maintain filing systems for records that require storage in accordance with the retention schedule. Research and identify records for destruction in compliance with department procedures. Coordinate the accessing, retrieval and/or disposal of records maintained in the Circuit. Enter data into the computerized program for tracking all records stored.

Responsible for fleet vehicles assigned to the Circuit. Serves as Fleet Management Liaison. Tracks the Preventive Maintenance for the State Vehicles, as well as maintains the records and coordinates the reservation schedule for usage.

Responsible for administrative support duties. Process and distribute a variety of correspondence; drafts responses as needed; make copies as needed. Performs Human Resources duties and serves as back-up to the Administrative Assistant. Provides training to secretarial staff as needed.

MINIMUM QUALIFICATIONS FOR THIS POSITION INCLUDE THE FOLLOWING REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS AND ABILITIES

A high school diploma or a GED. 

Valid Drivers License.

Proficiency in Microsoft Office.

Knowledge of administrative principles and practices.

Knowledge of office procedures and practices.

Knowledge of the methods of data collection.

Knowledge of the principles and techniques of effective communication.

Knowledge of Ariba On Demand.

Ability to collect, evaluate and analyze data relating to administrative functions such as accounting, personnel, purchasing, or report writing.

Ability to prepare correspondence and administrative reports.

Ability to understand and apply applicable rules, regulations, policies, and procedures.

Ability to utilize problem-solving techniques.

Ability to work independently.

Ability to plan, organize and coordinate work assignments.

Ability to communicate effectively.

Ability to establish and maintain effective working relationships with others.

PREFERRED QUAILIFICATIONS

One (1) year of secretarial/administrative support experience.

Ability to lift up to 30lbs.

Current or former employee of the State of Florida.

Ability to collect, evaluate and analyze data relating to administrative functions such as accounting, personnel, purchasing or report writing

Preference will be given to candidates with knowledge of Ariba On Demand (AOD).
