Job description
The Pension and Investments Group within Corporate Treasury oversees over $20 billion of retirement plan assets encompassing both defined benefit (pension) and defined contribution (401(k)) plans. The company’s pension plan is invested in a broad array of diversified investments including domestic and international equities, fixed income and alternative investments (private equity, venture capital, real estate and hedge funds). The 401(k) plans are equally well-represented save for the illiquid investments that comprise the alternatives category.

Responsibilities:
- Proactively assist with IAC presentation creation and binder distribution
- Manage calendars and schedule meetings, including updating the calendar for recurring and/or notable events, meeting coordination and logistics including invitations, audio/video conferencing set up, providing dial-in numbers, obtaining guest passes, assuring necessary presentation equipment is provided, ensuring timely and effective communications, and getting visitors situated upon arrival
- Primary contact for all incoming phone calls; handle phones with courtesy and efficiency; coordinate conference calls
- Maintain manager and vendor contact lists, and manager website logins/passwords
- In a timely and accurate manner, download/upload all manager related documents to the Document Management (DM) system, including ADVs, 408(b), DDQ, Dodd Frank, Quarterly Reports, Subscription Documents, important emails, etc.
- Maintain investment manager document checklist including all legal documents, performance reports, targeted communications, seminars, conferences, K-1’s, 1099, and 5500’s.
- Coordinate travel arrangements and prepare itineraries, including trip logistics, meeting coordination and remote support of employees who are out of the office
- Process invoices for management fees, collect K-1s and provide Corporate Accounting with a tracking spreadsheet of quarterly international management fees in a timely manner
- Process capital calls/wires for Corporate Investments
- Complete subscription documents for new managers/funds
- Prepare and submit expense reports in a timely manner
- Order office and kitchen supplies and process invoices and goods receipts
- Provide back-up to other assistants in Treasury
- Assist with special projects as needed
- Troubleshoot occasional facility issues
- Set priorities, meet deadlines, operate independently, communicate readily and effectively, and follow up on assignments with minimal supervision/direction
- Maintain standards of high integrity, impeccable moral and ethical character, discretion and strict confidentiality
- Create, encourage and maintain a positive environment for all who interact with Pension & Investments and the broader Treasury department
- Collaborate proactively and effectively with the department administrative team
- Maintain and support the usage of business equipment and supplies
