The focus of this role is to oversee and manage accounts payable, accounts receivable, financial reporting, licensing & taxation, and other administrative responsibilities. This role should help identify and solve issues in the AP process and monthly reporting steps.
What you would do in this role: These are the general areas of outcomes this role is responsible for.
- Accounts Payable
- Manage the accounts payable process to ensure all vendors are paid timely and all options for maximizing cash flow are pursued.
- Setting up the Staff Accountant to be efficient and accurate. This includes reviewing the processes on a quarterly basis to identify opportunities for improvement.
- Manage Subcontractor PO’s and payments to maintain accurate job costing and timely payments.
- Support printing and mailing checks as needed each week.
- Accounts Receivable
- Manage the person that is invoicing
- Collections
- Financial Reporting
- Accurately and efficiently match all credit card transactions with receipts and enter them into Sedona.
- Export commissions data from WeSuite, accurately enter into Sedona and iSolved, and distribute meaningful reporting to each Salesperson.
- Tie out and reconcile all balance sheet accounts.
- Review expense accounts for accuracy and reclassify to the correct category and/or accounts for consistent and accurate reporting.
- Execute the weekly reporting necessary to produce a weekly profit & loss statement and other operational reporting.
- Support the budget process by updating and completing supporting departmental schedules.
- Licensing & Taxation
- Maintain required local licensing and tax filings.
- Support the process for obtaining new licenses and tax registrations with research, completing submittals, and paying fees.
- Coordinate required licensing steps for team members.
- Administrative Support
- Support the Service team by answer incoming phone calls.
- Back up for importing new jobs from the estimating software (WeSuite) into the ERP (Sedona).
