Working conditions - Office environment. Typical work schedule is 8 a.m. - 5 p.m. Central at DOC HQ/Administrative Office. Some lifting, carrying (up to approx. 30 lbs.), and walking required.
Introduction/Description Do you love helping organizations and people operate at their best? Do you enjoy the challenges of multi-tasking and managing complex schedules, information, and logistics? The South Dakota Department of Corrections (DOC) in Pierre, SD, is looking for a motivated, organized, and dependable Executive Assistant to support the Department Secretary.
Knowledge, Skills, and Abilities: - serve as a liaison between the Secretary's office, department staff, other state agencies, and the public. This includes receiving and screening phone calls, emails, mail, and visitors; answering a variety of questions with tact and diplomacy; taking messages; and directing inquiries appropriately for resolution;
- maintain the highest level of integrity in handling confidential information and matters;
- proactively assists the secretary with projects and managing requests of the secretary's office;
- manage work with other DOC staff as needed and play a key role in the coordination of staff efforts both within and outside the department;
- maintain the Secretary's calendar, including scheduling meetings, appointments, speaking engagements, and travel arrangements. Exercise discretion in committing time and evaluating needs. Assist/Attend meetings with or on behalf of the Secretary. Prepare and distribute meeting materials on behalf of the Secretary;
- provide notary service for the Secretary;
- determine priority of attention for department leaders; redirect matters to staff to handle, or handle matters personally, as appropriate;
- keep department leaders advised of time-sensitive and priority issues, ensuring appropriate follow-up;
- compose and prepare correspondence for signature;
- prepare and submit expense reports on behalf of the Secretary;
- maintain confidential and sensitive information;
- complete a variety of special projects and routinely perform a wide variety of support duties.
The Ideal Candidate Will Have: - three or more years in upper-level administrative assistant or program coordinator roles;
- willingness to consistently learn and adapt in a fast-paced environment;
- proven proficiency in Zoom; Microsoft Outlook, Teams, Word, Excel, and PowerPoint; and Adobe Acrobat Pro;
- strong written and verbal communication skills;
- ability to take initiative and complete tasks independently while being a positive, agile team player, cultivating productive working relationships across the organization;
- exercise careful discernment and judgment with the ability to prioritize and make decisions;
- operate with poise and confidence;
- notary credentials or be willing and able to acquire them;
- proactively assist department leaders to get what they need before they need it.
