Job description

We are seeking a dedicated and skilled Legal Assistant to support the Risk Management department in managing business licenses and Liquor Licenses. The ideal candidate for this position has at least two years of experience working in a law office and is familiar with governmental applications and forms. Any corporate, real estate, or transactional law experience is a plus. Willing to train but looking for someone with the confidence to jump
in and figure out new assignments.

Responsibilities:
• License/permit Management: Organizing and maintaining Liquor files, including documentation, correspondence, and managing and tracking all assigned permits and licenses.
• Client Communication: Interacting with internal clients with empathy and professionalism, both in person and over the phone, gathering necessary information, and addressing their inquiries.
• Record Keeping: Maintaining organized and up-to-date files, permit and license records, and firm databases, including scanning documents and files.
• Drafting and Proofreading: Preparing legal documents and correspondence under the guidance of the Risk Director, ensuring accuracy and adherence to established formats.
• Internal-client Follow-Up: Assisting in follow-up communications with clients.
• Collaborative Support: Working closely with risk specialists and other team members to enhance team efficiency.
• Billing and Invoicing: Managing billing and invoicing tasks to ensure timely and accurate processing.
• General Administrative Support: Providing administrative assistance, such as answering phones, managing mail and emails, managing phone systems and messaging, maintaining office supplies, and running errands, as needed.
• Documenting Office Procedures: Assisting the director with preparing and maintaining an office procedures manual.

Qualifications:
• Prior experience as a paralegal, legal assistant, secretary, office or administrative assistant, or similar clerical position of 2 years or more is required.
• Prior experience working in a legal setting is preferred but not mandatory.
• High proficiency in Microsoft Word is required.
• Proficiency with Windows Pro 10 or 11, Adobe Acrobat, and Microsoft Office Suite, including Word, Outlook, OneNote, and Excel.
• College degree preferred.
• Detail-oriented and self-motivated.
• Highly organized and able to meet deadlines.
• Must be professional, dependable, able to multi-task, prioritize, and work efficiently without constant supervision.
• Ability to provide a level of focus and attention to detail to keep documents error-free.
• Ability to communicate clearly and effectively (verbally and in writing) with a wide variety of people.
• Ability to find or suggest solutions to problems.
• Demonstrated ability to handle sensitive information with utmost confidentiality and professionalism.
