Position Summary:

The Executive Assistant provides high-level administrative support to the Group Vice President and other department senior leadership as needed. The Executive Assistant handles a wide range of tasks involving highly confidential and critical company information and supports efforts to ensure best practices, smooth business operations, and achievement of department objectives and goals.

Key Accountabilities

• Perform standard, advanced, and confidential administrative duties to support VP and Sr. Department Executives.
• Responsible for VP & Sr. department leaders’ calendar management, organization, and scheduling as needed.
• Plans outings, luncheons, meetings, off-sites, and other events for the department.
• Lead planning and coordination of the annual President’s Council Trip, a large-scale off-site meeting and event.
• Arranges travel schedule and reservations as needed. May prepare T&E reports as requested.
• Facilitate executive new hire orientation/onboarding by coordinating space, training, and equipment procurement as necessary.
• Responsible for the Department Recognition and Appreciation Program; maintaining the Anniversary / Retirement calendar, ordering gifts, etc.
• Assign office space appropriate to the job level and structure within the department, at the discretion of the VP.
• Responsible for maintaining Department calendars.
• Provide general administrative support to VP and Sr. Department Executives on department projects, and other related responsibilities as needed.

Minimum Knowledge & Experience required for the position:

Education: High School Diploma or GED

Experience: 5 -7 years of related administrative experience in a corporate environment

Skills & Capabilities:

• Experience with international business a plus
• Ability to communicate across C-level
• Experience with budget management
• Excellent active listening skills
• Language: English
•  

Travel requirements:

Approximately 5% of the time for meetings as required by the VP.
