Job Description
As an Administrative Assistant within the Regional Quality Assurance Team, based at 6004 Ponders Court, Greenville, SC 29615, you will provide comprehensive support to a team of fifteen (15) or more professionals. Your responsibilities encompass preparing expense reports, prioritizing activities, making travel arrangements, facilitating meeting set-up, scheduling meeting rooms, ordering lunches, and reviewing daily report logs. This role demands strong organizational skills, critical thinking, and the ability to anticipate needs while maintaining a high level of professionalism.
In addition to administrative duties, you will collaborate with and support engineering and field staff on current and future projects. This entails performing technical administrative tasks specific to engineering projects, drafting written reports, and monitoring project status along with related contracts.
Minimum Job Requirements
- Associate degree.
- 5 years of relevant professional experience within an Engineering field or technically advanced industry.
What you will be doing daily
- Provide word processing, spreadsheet creation and data entry, filing, meeting schedules, and other administrative support to facilitate corporate operations or professional service delivery.
- Type/produce/distribute all correspondence, proposals, feasibility studies/reports, transmittals, memos, specifications, meeting minutes, and legal descriptions, as required.
- Coordinate meeting preparations, notices, calendar scheduling, facilities, and lunches as required.
- Set up, maintain, and archive project files.
- Assist other Administrative Assistants and Receptionists in overflow capacity, backup, or emergency tasks.
- Coordinate and schedule conferences, training sessions, travel itineraries, lodging, transportation, and related arrangements.
- Book lodging for the traveling technician team.
- Coordinate FedEx shipping of material samples and other related department items.

Required Knowledge
- Advanced user of Microsoft Office Suite. (Word, Excel, PowerPoint, Outlook, and TEAMS)
- Intermediate user experience with ADOBE PDF
