Job description
This administrative support position is a bilingual (Spanish) required position that involves interactions with families via phone. Additionally, this position requires data entry and documentation in the program database. Knowledge of Microsoft Outlook and Excel is required. Experience working in electronic health records is desirable. This position is for the Sanford-Oceanside location (3605 Vista Way, Oceanside, CA 92056). Length of assignment is through 9/30/2024. Shift: M-F, 8:00am-4:30pm Requirements: - High School Diploma, GED or Equivalent, Associate's degree preferred - 2 years of experience minimum; 3 years of experience preferred - Prior hospital, health care, university, legal or research experience - Experience working with confidential information in a multi-disciplinary environment, performing and prioritizing multi-task assignments under minimal supervision and meeting results and deadlines - Basic accounting or budget monitoring and analysis experience - Proficient knowledge of Microsoft Office products including Word, Excel, PowerPoint and Access - Typing at 50 words per minute (preferred) Job Duties: - Coordinates & performs department/unit administrative activities, including but not limited to, storing, retrieving & integrating information for dissemination to staff, customers, clients, vendors, patients & families. - Coordinates functions required to ensure smooth operations, plans & executes projects within scope of responsibility, & works with external, inter & intra departmental teams to support department/unit. - Provides training & orientation for new staff & troubleshoots office technologies. - Assists in the preparation & processing of grant proposals, maintains grant documents, responds to inquiries pertaining to requirements of federally-funded grants, organizes & maintains workflow of the Research office & recognizes & respects the confidential nature of information in the Research area.
