Job description

Indo-American Center is seeking an enthusiastic and detail-oriented Office Manager to join our team and play a pivotal role in maintaining smooth daily operations Responsibilities: Administrative Support: Manage the daily administrative tasks including answering phone calls, responding to emails, scheduling appointments, and maintaining a tidy and organized office environment Data Entry and Record Keeping: Accurately enter, update, and maintain various types of data into company systems and databases Ensure data integrity and organize records for easy retrieval Multitasking: Juggle multiple tasks efficiently while maintaining attention to detail and a high level of accuracy Prioritize assignments and manage time effectively to meet deadlines Inventory Management: Keep track of office supplies, equipment, and inventory levels Order and restock supplies as needed to ensure a seamless workflow Spreadsheet Management: Create, update, and manage spreadsheets for various purposes such as tracking expenses, project milestones, and other relevant data Summarize and present data using charts and graphs for reporting purposes Reporting: Generate and compile regular reports as required, showcasing key metrics, trends, and insights Present data-driven information to relevant stakeholders for decision-making Coordination and Communication: Collaborate with different teams and departments to ensure seamless communication and coordination Assist in arranging meetings, events, and workshops as required Vendor Management: Cultivate and maintain strong relationships with key vendors Serve as the primary point of contact for vendors, addressing inquiries, resolving issues, and fostering collaborative partnerships Qualifications: The ideal candidate will have excellent customer service skills, a strong command of Google Suite, experience in data entry, and a knack for multitasking in a fast-paced environment At least 2 years of proven experience as an Office Manager or in a similar administrative role, preferably in a fast-paced environment Possess exceptional interpersonal skills with a strong customer-centric approach Able to communicate effectively with a diverse range of individuals Proficient in Google Suite (Gmail, Google Docs, Sheets, Slides, Calendar, etc.) and MS Office Suite Comfortable learning and adapting to new software and tools Demonstrated accuracy and speed in data entry, with an understanding of maintaining data integrity Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously Keen attention to detail and an analytical mindset when managing data, spreadsheets, and reports Resourceful problem solver with the ability to think on your feet and find solutions independently Collaborative attitude with the ability to work effectively as part of a team Positive and inclusive work environment Demonstrated commitment to support vulnerable and marginalized immigrant communities Personal qualities of integrity, credibility, and a commitment to IAC’s mission Multi-lingual requirement: Must be able to speak English and Hindi/Urdu Chicago, IL 60659: Relocate before starting work (Required) Benefits: IAC offers competitive benefits including health, dental, and life insurance, 401K, flexible schedule, and generous PTO Pay: $40,000.00 - $50,000.00 per year 401(k) Paid time off Vision insurance
