Job Description:
We are currently seeking an experienced Administrative Assistant to join our team in Santa Monica, CA. The ideal candidate will have at least 3 years of relevant experience in administrative roles and possess strong organizational, communication, and multitasking skills. As an Administrative Assistant, you will play a vital role in supporting the smooth operation of our office by handling various administrative tasks and providing assistance to team members as needed.
Responsibilities:
- Perform general office administrative duties, including answering phone calls, responding to emails, and managing correspondence.
- Greet and assist visitors in a professional and courteous manner.
- Schedule and coordinate meetings, appointments, and travel arrangements for team members.
- Maintain and organize office files, records, and documents both electronically and in hard copy.
- Assist with the preparation and distribution of reports, presentations, and other materials as needed.
- Coordinate and support special projects and events as assigned.
- Assist with inventory management, ordering office supplies, and maintaining office equipment.
- Provide administrative support to various departments and team members as required.
- Ensure the office environment is clean, organized, and presentable at all times.
- Adhere to company policies, procedures, and confidentiality guidelines in all administrative activities.
Requirements:
- Minimum of 3 years of experience in administrative roles.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
- Excellent communication skills, both verbal and written.
- Strong organizational and time management abilities with keen attention to detail.
- Ability to prioritize tasks and manage multiple deadlines effectively.
- Proactive attitude with the ability to work independently as well as part of a team.
- Professional demeanor and customer service orientation.
- High school diploma or equivalent; additional qualifications in Office Administration or related field is a plus.
