Job Summary
The Purchasing and Facilities Coordinator supports the purchasing process from procure to pay, with a primary focus on Facilities-related transactions. Includes creating or helping others in the business to create purchase requests for materials and services, tracking and facilitating the purchase approval process, and reconciling POs and services provided with invoices and receipts to approve for payment. This individual will directly support from start to finish the repair and maintenance process at company-leased properties. Includes monitoring the facilities request intake tool, working with the local property managers to confirm an understanding of the repair required, identifying qualified service providers, conducting competitive bids, supplier selection, and coordination of services until complete. Serves as primary point of contact with suppliers to coordinate specific transactions, improve supplier relationship, and track and resolve any supplier performance-related issues. Performs sourcing-related activities including defining requirement, gathering pricing, evaluating quotes and terms negotiation. Broad position that is exposed to and engaged in all aspects of purchasing.

Major Duties and Responsibilities
- Create and/or assist others in creating Purchase Requisitions in NetSuite Purchasing
- Complete receipts in Purchasing System for POs created. Assist others as needed
- Resolve invoicing issues with Suppliers to facilitate on-time payment
- Order and serve as primary Purchasing point of contact for the procurement of
- Waste disposal services for new facilities
- Utilities and maintenance services at all locations, including copy machines, water/ice machines, A/C services, etc.
- Cleaning service agreements, floormat rentals/cleaning, fire inspector visits, paper products for restrooms and cleaning services
- Company uniforms, office supplies and business cards
- Utilities (water, power, gas) and Internet
- Additional exterior lighting for facilities
- Furniture, new and used
- Pest control, port-o-lets, signs and banners
- Security alarm, video monitoring and access control services at all locations
- Vehicles, construction equipment, tools, safety equipment, other fixed assets
- Other spend categories as needed
- Perform QA/review of Purchase Requisitions created by other Requesters, verify coding, correct as required. Route to category specific departments as required (e.g., IT, Facilities, Fleet, Safety, etc.). Facilitate prompt approvals through workflow process
- Support monthly review and analysis of all Rental Expenses to identify longer term savings opportunities
- Support monthly review of company credit card statements for incorrect use and savings opportunities
- Work closely with Billing Team re: billable invoices to our customers
- Monitor Purchasing email inbox, resolve and route to others as required
- Support and facilitate credit application process for new and existing suppliers
- Obtain W-9s from suppliers to set up as an approved supplier
- Support special projects and disaster management efforts
- Evaluate and approve new supplier requests
- Identify and implement opportunities to improve terms and conditions with suppliers
- Identify and help implement supplier standardization and consolidation efforts
- Provide clear/concise communication to various levels of the organization
- Support and lead sourcing events. Research pricing, obtain quotes, negotiate terms
- Build and maintain strong supplier relationships
- Support IT as needed in issuing access fobs and security pins to employees
- Consistently perform all duties and responsibilities per production/quality standards
- Adhere to industry specific local, state and federal regulations, as applicable
- Follow and enforce the Company’s policies and procedures
- Additional responsibilities as required by changing business and customer needs
