SUMMARY:

Responsible for organizing, coordinating and directing all operations, programs and personnel required for servicing conventions and trade shows as assigned. Works with meeting planners to determine servicing requirements and other support needed by organization and attendees. Assists with implementation and coordination of cooperative service model and visitor information plan with key stakeholders including, but not limited to: Kansas City Convention and Entertainment Centers, convention hotels and other strategic vendors and partners.

KEY RESPONSIBILITIES:

• Primary liaison between meeting planner and city; maintains routine written, telephone and personal contact with the clients; oversees maintenance of all client files.
• Acts as liaison between meeting planner and service members; offers suggestions and assistance planning entertainment, tours, shopping, spouse and children's programs and other attractions; solicits, collects, and files information for speaker/entertainment files.
• Conducts site visits with meeting planner throughout the year.
• Visits each convention/meeting while it is taking place.
• Attends and organizes pre-and post-event meetings with meeting planner and appropriate vendors; provides post-event evaluations to determine the success of the meeting/tradeshow and shares results with all members that are mentioned.
• Executes all commitments made via letter of intent and or contract.
• Works with convention groups to help promote their meetings.
• Travel to groups' convention the prior year when committed.
• Operates within the established budget for services and specific projects.
• Assist Director with team development and training.
• Records and tracks all activities in CRM.
• Advise Director of Services of any potential service issues or concerns.

EDUCATION AND EXPERIENCE:

Bachelor's Degree from a four-year college or university preferred. Minimum 4 years of meeting and event planning with direct experience in convention sales or services in a hotel, bureau or attraction. CMP designation a plus. Proficiency in Microsoft Office products, database management programs and ability to learn new software programs as directed. Excellent communication skills, strong initiative and work ethic. Superior organizational skills, attention to detail and ability to work well in a team environment. Work evenings, weekends, travel b ased on client and office demands a nd possesses a valid driver's license.
