Job Summary: The Wisconsin IceCube Particle Astrophysics Center (WIPAC) is a scientific center within the Office of the Vice Chancellor for Research at the University of Wisconsin-Madison. WIPAC research focuses on particle astrophysics, including managing the operations of the IceCube Neutrino Observatory at the South Pole. This position will provide administrative support for WIPAC in Madison, WI. The work includes procurement, property administration, financial reporting, payroll, human resources, and supporting WIPAC leadership. As part of the administrative team, the hired individual will: - track grant budgets and prepare financial reports
- purchase goods and services, including tracking capital equipment purchases and inventory in accordance with UW policy
- assist with payroll and personnel management
- act as department liaison for building management and fleet vehicle requests
- provide administrative support to WIPAC leadership
- complete special projects as assigned
Responsibilities:
Responsible for a variety of professional level work across a variety of administrative service areas including budget, finance, procurement, and human resources with impact across the institution in support of unit or institutional goals. - 15% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
- 40% Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
- 30% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
- 15% Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems

Qualifications:
Required:
- Proficiency with Microsoft Office suite & Goggle Workspace
- Experience using Microsoft Excel to analyze, track, and/or interpret data
- Must be highly organized with the ability to multitask and meet deadlines
- Strong attention to detail
Preferred:
- Experience tracking budgets and generating financial reports
- Experience with UW software and financial systems (such as Cypress, HRS, WISER, SFS, Shop UW+, and RAMP)
- Experience tracking equipment and inventory
- Experience following established policies and procedures to purchase goods and services
- Effective verbal and written communication
- Ability to work productively, both in a team and independently
License/Certification:
Preferred Drivers License - Valid and Meets UW Risk Management Standards

Full Time: 100% This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
