Business Operations is the glue of DE&E Technology, with a persistent focus on connecting all the pieces of the business. All the components that make up the organization – engineering, product, design, operations, support and more – come together and move the business forward with oversight, effective prioritization, and guidance. This team synthesizes information from across the business to ensure leaders are armed with all the necessary data before making strategic and financial decisions. From forecasting, funding, tracking, and reporting on projects, to ways of working, and resource management, Business Operations has transparency and input into all aspects of the team.
The Disney Entertainment & ESPN Technology Business Operations team is seeking a Senior Manager to join our Resource Management organization. Our Resource Management team focuses on human-centered environments & physical space requirements for a global technology organization, serving as the liaisons between our business technology team and various other departments. This is an ever-evolving ecosystem and includes everything work-space related that impacts our employees’ ability to do their best work and get the most out of our in-office work space. This position will focus on building strong adjacencies amongst our teams and with partners within our physical footprint to continue enabling productivity, driving collaboration, and promoting innovation. As a Senior Manager on this team, you will support DE&E Technology’s space management needs by gathering requirements from the DE&E Technology team and then providing those requirements to Corporate Real Estate and Enterprise Technology who will design and implement plans to deliver on those needs. This position will also work closely with DE&E Technology leadership, Human Resources, Employee Relations, Finance, Legal, and Communications to optimize our operations.
Successful candidates will have an understanding of space management best practices and terminology to pull from as you partner with various departments to meet the team’s needs. You will be comfortable working through partners like Corporate Real Estate who take the lead on delivering on the needs. You are a strong leader who will up-level the organization by helping support DE&E Technology’s space needs, office effectiveness, and cohesion within our business unit while bringing experience and comfort at having conversations with executives, including at senior levels, to drive action and results. You are highly experienced at solving ambiguous issues using analytical solutions and communicating complex issues effectively. Your comfort with ambiguity and demonstrated problem-solving leadership with limited oversight allows you to quickly tease through complexity to produce structured results while remaining flexible, nimble, and adaptable to shifting demands and priorities. This role offers the unique opportunity to work on both tactical actions that drive our near-term business needs and further reaching initiatives that will define the future of DE&E Technology within our spaces.
Responsibilities
Overall responsibility for gathering DE&E Technology people's physical space needs for approximately half of our domestic locations and a large portion of our international locations.
Engage other organizations, including Corporate Real Estate and Enterprise Technology, who will design, plan and execute large and small initiatives to deliver needs across a global footprint for DE&E Technology. Also partner with all DE&E Technology teams, Human Resources, Employee Relations, Finance, Legal, and Communications teams across all DE&E Technology locations throughout projects.
Serve as a key liaison representing senior leadership within our business organization and other departments on physical space needs and initiatives.
Serve as a key contact point across DE&E Technology leaders and team members for all space needs while being able to direct the conversation / guide the outcome - - all while listening to the needs of each team and unlocking opportunities for each to be successful.
Be responsible for and manage location Coordinators, Administrative Assistants, and other auxiliary resources on Space Management initiatives across the following areas:
Footprint:
Location Data: Validate location headcount data, maintain accuracy, pull data as needed for internal and external use, and review with Corporate Real Estate to ensure space and financial allocations are correct.
General Seating Space: Work across DE&E Technology to determine the amount and type of space needed (ie assigned vs hoteling), collect and map adjacency needs, write up business justifications, provide to Corporate Real Estate for evaluation, approval and design/execution, determine neighborhoods for each of our business teams, drive buy-in across business leaders, and oversee seat-level assignments.
Adjacencies: Work across DE&E Technology to collect / determine / maximize meaningful adjacencies both within internal and external supporting functions to fully enable productivity, enable collaboration, and unlock opportunities for innovation.
Specialty Spaces: Gain consensus with DE&E Technology leadership for specialty space needs, which includes vetting of proposed specialty space needs for alignment to business/technology strategies and processes, and ensuring business justification and funding has been secured. Once the justification is in place, assemble key business technical subject matter experts to work with Corporate Real Estate (CRE) as they lead the project through gathering specific requirements, design and construction of the specialty spaces, acting as a helpful liaison between the business and Corporate Real Estate.
Interiors and Functionality:
Interior Design: Gain consensus with DE&E Technology leadership for interior design needs (e.g., interior updates such as artwork and furniture, branding, digital signage, etc). Ensure business justification is in place and assist in securing budget from DE&E Technology leadership as needed. Work with CRE as they lead the due diligence, gathering of specific requirements, design and execution of the project. Act as a helpful liaison between the business and Corporate Real Estate during the process.
Technology: Gather all needs related to procurement / installation, re-positioning, ongoing functionality, availability, and decommissioning of all desk-based hardware. Provide requirements to Enterprise Technology and Corporate Real Estate Design & Delivery who will identify, procure and install equipment (e.g., conference / collaboration spaces, e-signage, monitor walls). Provide requirements to Enterprise Technology related to hoteling software and network / wifi and support their implementation of solutions to address those needs. As necessary, secure needed budget from DE&E Technology leadership.
Operations:
Location Operations: For locations responsible for:
Handle day to day requests and inquiries of our people including new seating request assignments, one off move requests, changes to current seating assignments as well as upkeep of master data on people’s office location
Serve as first line of contact for leaders and employees within our spaces to answer questions and ensure issues are resolved while pulling in other departments as appropriate.
Provide updates on progress and completion of any issue resolution.
Manage operation of office location specialty spaces and address any issues.
Lead ordering of kitchen / office supplies as necessary and any applicable snack programs.
Assist or lead location specific team events or activities including executive visits, team events, all hands or town hall related activities.
Moves: Provide Corporate Real Estate Move Services and Facilities with requirements related to changes in locations and specific seating to suit the needs of our business (both large and small moves) within our allocated spaces. Complete intake forms and other information needed by Corporate Real Estate and Enterprise Technology who will plan and implement moves that range from large re-stacks of hundreds of people at a time to smaller one-off moves.
Security, Access, and Safety: Work with Global Security to ensure the correct team members have access to the correct locations, ensure parking access, ensure business unit crisis management representatives are trained and at the ready, and ensure first aid kits as well as emergency bags are up to date and clearly accessible.
Office Experience: Drive human centered touch-points & resources in an ever-evolving ecosystem that includes everything work-space related that impacts our employees’ ability to do their best work and get the most out of our in-office workspace.
Communications: Keep leaders and team members up to date on all things office space related, including large office location updates and moves by partnering with the DE&E Technology Communications team and HR. Directly communicate to teams for informal communications.
Compose and deliver status on initiatives to senior leadership as needed
Basic Qualifications
8+ years of experience in space management and/or employee workplace experience.
Bachelor’s degree.
Demonstrated track record of creating a vision, gaining buy-in to the vision, and effectively managing execution.
Ability to work well in an ambiguous and fast-changing environment and navigate a complex organizational structure.
