Departmental Overview The Department of City and Regional Planning (DCRP) is an interdisciplinary department seeking to shape the evolution of neighborhoods, cities, and regions by training planners to envision, facilitate, and shape better futures. At DCRP, we nurture a willingness to confront tough challenges, utilize innovative planning and design techniques, engage in knowledge creation, and push research on cities and regions forward. At the graduate level, we offer a Master of City Planning (a two-year professional degree), with a variety of concentrations, and a Ph.D. in City and Regional Planning. This is a critical position in the department as it supports multiple functions and constituents. The individual will be responsible for and advise on a variety of departmental and student issues, including recruitment, admissions, financial aid, the evaluation and awarding of fellowship and grant funds, student orientation, event planning, and management. Tasks may involve handling confidential information. Most work is done independently under the supervision of the department manager, coordinating with the department chair, faculty, staff, and curriculum committees, as well as the key university departments such as the Graduate Division, business services and HR services partners in ERSO, visitors, and vendors. Application Review Date The First Review Date for this job is: 3/13/24 - Open Until Filled Responsibilities 35% Recruitment and Admissions: Plans and implements outreach programs with specifically targeted institutions; advises prospective applicants admissions process in addition to the necessary academic preparation and appropriateness of the program as it pertains to the prospective applicant's goals; utilizes in-depth knowledge of the organization's admissions criteria; organizes application materials and coordinates admissions committee meetings; evaluates domestic and international transcripts for degree eligibility; initiates and arranges student recruitment events and visits. Serves as a resource for, prospective applicants, faculty, and staff and provides information on all aspects of the graduate programs. Develops and enhances alumni recruitment network. Recommends changes to graduate office policies, practices, and procedures. 25% Event Management (15% Graduate Student & 10% All Department): Plans and implements complex, high-visibility departmental and student events, independently and in coordination with other staff, such as commencement, open house, orientation, etc. Plans, designs, and provides workshops for students, such as information about the campus, or academic strategies and enrichment programs. Makes suggestions for venues and communicates with participants and outside vendors as necessary; manages event budgets, and accounts payable and arranges travel and hotel accommodations for visitors. Keeps a departmental schedule of events; creates and makes announcements on events to the department, college, and alumni lists and social media Sites. Coordinates room/space scheduling for events. 20% Administrative Support: Serves as the initial point of contact for visitors to the department; handles routine queries from faculty, students, staff, and visitors; answers the main department's telephone and email queries. Assists in ensuring that daily office operations run smoothly. Serves as key coordinator for the department and keeps records. Assists with routine departmental correspondence, calendaring, and special projects as needed. Serves as safety coordinator for the department on the CED safety committee. Reports broken equipment etc. to the building facilities manager and MSO and coordinates copier repairs and allocation of access codes. Keeps inventory and purchases office supplies for the department; manages vendor payments, including honoraria, and prepares purchase order requests. Updates the departmental website as needed or coordinates with web development staff. Collects, updates, and edits materials for the department's accreditation and program reviews as requested. May establish and keep up a social media network for DCRP, using LinkedIn, Facebook, or other, to communicate with prospective students, alumni, and potential donors. Collaborates with affiliated CED and campus units as appropriate. May supervise work-study student(s). 10% Academic Advising: Coordinates with other departmental and college GSAOs; advises students and faculty on departmental/school/college and university policies and procedures; reviews students' progress and advises students and faculty on requirements for degree/program completion. 5% Financial Aid: Oversees the administration, evaluation, and awarding of graduate student fellowships, grants, scholarships, and other awards; advises students on financial aid options of the organization and extra-mural fellowship opportunities; assists with equitable assignment of Graduate Student Instructors and coordinates assignments each term. 5% Professional Development: Takes classes/workshops that will enhance expertise in professional areas of interest and growth and will enhance the current work environment.
