Automotive/Dealership Accountants
The Clay Cooley Automotive Group's journey to success is rooted back 25 years ago to Clay's early experiences in DFW's automotive industry.
The Clay Cooley Auto Group is looking for experienced, detail-oriented, self-motivated, and reliable Accountants for our dealerships. These individuals must be proficient in principles and terminology of automotive/dealership accounting including but not limited to billing, accounts receivable and payable; skillful administration of CDK, Excel, Web Dealer, and manufacturer's sites. It is essential to understand the significance of deadlines and the inability to apply the appropriate level of urgency to all tasks.
Job Duties:
Billing
- Examines contracts and deals to warrant conformity to specified requirements. The accountant verifies all documents are signed and completed, correctly.
- Posts new and used deals to accounting books.
- Ensures completion of DMV registration paperwork for sales made at the dealership. The accountant confirms all information needed for title administration is documented correctly.
- Updates accounting records with issued invoices and new payments. The accountant assists the entire department with the preparation of financial reports.
Accounts Receivable
- Receipts all monies collected from the vehicle sales, checks for money due, and provides drafts for dealer signature. The accountant pulls original vehicle invoices for payoff.
- Reconciles and deposits service and parts daily. The accountant researches and administers chargebacks, returns, and bad checks.
- Prepares cash deposits and completes the cash control sheet daily. The accountant handles daily credit card deposits.
- Concludes finalized cash receipts and renewed accounts receivable ledger by customer. The accountant prepares accounts receivable monthly statements.
- Inputs new vehicles into the system as directed by management. The accountant reports sold units through the factory reporting system and retains accurate delivery records.
Accounts Payable
- Receives, reviews, and processes vendor invoices accurately and efficiently within company policies and procedures. The accountant verifies invoice details and ensure proper coding/matching with support before payment.
- Prepares and manages regular payment runs with third-party payment processor using checks, credit card, ACH, and wire payments. The accountant settles monthly vendor statements and run payables by the deadline.
- Upholds Accounts Payable email correspondence with vendors on account status. The accountant investigations past due amounts or payments made in error.
- Collects information and approvals as needed to create and update vendor information. The accountant maintains and adds new vendor names and W9 files.
- Cut daily checks including Trade Lien Payoff checks as needed after approval.
Job Requirements:
- High School Diploma; College Degree a plus
- 3-5 years dealership experience and extensive knowledge of accounting duties. Pay based on experience.
- Excellent computer skill levels (Internet and MS Outlook); CDK experience is MUST.
- Aptitude to transition from one task to another clearly and concisely.
- Ability to work well both individually and as part of a team.
- Flexible schedule to work full-time with varying extended hours during accounting cutoff periods.
