Responsibilities
- Scheduling Technician Assignments: The dispatcher is responsible for scheduling HVAC technicians to customer appointments and service calls. They must prioritize requests based on urgency, location, and technician availability.
- Customer Communication: Maintain clear and effective communication with customers regarding appointment scheduling, technician arrival times, and any changes to service plans. Provide excellent customer service by addressing inquiries and concerns promptly.
- Technician Coordination: Ensure that HVAC technicians have all the necessary information, tools, and equipment required for each service call. Coordinate with field personnel to optimize their schedules and routes.
- Emergency Response: Dispatch technicians for emergency HVAC repairs promptly and efficiently. Assess the situation's urgency and dispatch the appropriate technician with the necessary skills and tools.
- Technical Support: Provide basic technical support and troubleshooting assistance to customers over the phone when possible. Identify and escalate complex issues to senior technicians or supervisors.
- Inventory Management: Maintain records of HVAC equipment and spare parts inventory. Coordinate with the inventory manager to ensure technicians have access to the required materials for their service calls.
- Quality Control: Monitor technician performance and ensure that work is completed to company standards. Keep track of service call progress and follow up with technicians to ensure timely completion.
- Data Entry and Reporting: Accurately record customer information, service details, and technician notes in the company's database. Generate reports on technician performance, service call metrics, and customer feedback.
- Safety Compliance: Ensure that technicians adhere to safety protocols and guidelines while on the job. Provide safety reminders and information as needed.
- Prioritizing Urgency: Assess the urgency of service calls and allocate resources accordingly, taking into account factors like extreme weather conditions, vulnerable customers, or critical system failures.
- Conflict Resolution: Handle customer complaints and conflicts professionally, striving for satisfactory resolutions. Escalate issues to management when necessary.
- Continual Improvement: Identify opportunities to optimize dispatching processes, reduce response times, and enhance customer satisfaction. Provide feedback and suggestions for improving the dispatch department's efficiency.
- Training and Development: Assist in the training and onboarding of new dispatchers and HVAC technicians, ensuring they understand company procedures and customer service expectations.
- Documentation: Maintain accurate records of service calls, customer interactions, and technician schedules. Keep track of warranty information and service agreements.
- Adherence to Regulations: Stay informed about industry regulations and compliance requirements related to HVAC services, ensuring the company's operations adhere to all relevant laws and standards.
- Team Collaboration: Collaborate with other departments within the company, such as sales, billing, and maintenance, to ensure seamless operations and a consistent customer experience.

- Minimum of 2-3 years of dispatcher experience
- Associate degree preferred but not required
- Self-starter, reliable, and flexible with hours
- Strong customer service skills
- Present and communicate professionally (written and verbal)
- Excellent interpersonal communication skills on a professional and technical level
- Able to work both independently and as part of a team
- Strong knowledge of Microsoft Excel, Word, and Powerpoint
- Service Titan Experience preferred
- Must be a critical thinker - Strong English composition skills
- Telephone etiquette and working knowledge of email systems
- Ability to develop tools that create efficiencies within the department
- Bilingual is a plus, but not required
- Ability to climb up and down stairs from time to time
- Moderate lifting may be required (15-20) pounds
- Ability to work more than 40 hours per work week and up to 12 hours per day
- Must be authorized to work in the US.
