Job Description

POSITION PURPOSE :

This multi-faceted role tackles both purchasing and customer service needs at the Bookstore. From processing purchase requisitions within the Minnesota state Marketplace purchasing system to reconciling receipts, assisting customers and verifying invoices, you’ll ensure smooth store operations.

JOB RESPONSIBILITIES :

Purchasing / Inventory Maintenance
Processes and reviews purchase requisitions. Maintain purchasing records in point-of-sale software. Coordinate the return of merchandise.

• Within Minnesota State Marketplace system, review all purchase requests for accuracy to avoid processing delays through the procurement process.
• Monitor and tracks purchase orders to ensure sufficient funds are available. Contact the Business Office to amend purchase orders if the amount is increased or items are revised. Follow up on status of open Bookstore purchase orders.
• Enter receiving documents in inventory control system and process invoices to close out purchase order.
• Month end counts for non-merchandise inventory, i.e. stamps and movie tickets.
• Manage the return of books and merchandise to vendor.
  • Initiate correspondence
  • Packages items to be returned.
  • Maintains records of returned items to ensure credit memo is received from vendor.
  • Record returns in MBS to reconcile with credit memo.
  • Applies credit memos to open invoices or corresponds with vendor to receive payment on credit.
  • Reconciles credit memos in MBS to Minnesota State accounting.
  
  

Accounts Payable Function

Coordinate & process Bookstore invoicing and shipment verification

• Review incoming invoices, packing slips, and acknowledgements for verification of receipt with purchase order. Verify correct vendor number for remittance address or change of address before processing payment of invoice and verify correct pricing and mathematical accuracy.
• Work with Accounts Payable to contact suppliers/vendors by email or phone regarding discrepancies in invoices, statements, or deliveries.
• Monitor timeliness of payments to avoid late charges and utilize credits.
• Balance month end expense and revenue reports to reconcile with business office transactions.

Backup to Customer Service / Cashiering area

• Reconciliation of end of day sales receipts with MBS point of sale reports for the business office (closing the store).
• Assist with cashiering as needed.
• Managing weekly change needs for the registers.
• Provide customer assistance on the sales floor, by phone and email.
• Assist with processing on-line book orders as needed.
• Assist with textbook buyback as needed.
• Orders office supplies as needed.

Other Tasks necessary to Bookstore operations

• Reconcile department charge backs monthly from bookstore account to business office ledger.
• Assist with training of incoming staff and student workers in receiving functions.
• Generate MBS reports for Accounting Supervisor Intermediate and College Bookstore Coordinator Senior.

Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner.

Required Qualifications

• Skill in accounting/budgeting/expense reporting sufficient to use a computerized point-of-sale (POS) accounting system for budgeting, revenue reporting, inventory, and procurement.
• Proficient in the use of standard business software applications including word processing, electronic spreadsheets, internet browsers and e-mail software.
• Demonstrated customer service skills, and proficient in oral, written and electronic communications to effectively interact with internal and external customers.
• Experience in a retail environment and has the ability operate a cash register, calculator, card reader, and pricing equipment.
• Ability to serve individuals from diverse racial, ethnic, and socio-economic backgrounds.

Preferred Qualifications

• Two-year degree in related field
• Ability to successfully use software such as Microsoft Word and Excel to create and modify documents and spreadsheets.
• Knowledge of and understanding of Marketplace, MNState Contracts and Purchasing processes.
• Knowledge of State of Minnesota-specific computer systems and software programs including ISRS
• Ability to organize tasks, initiate action, work independently within parameters, and communicate effectively with a broad range of people.
• Ability to multi-task and quickly adapt to changes in policies, processes, procedures, and priorities, and ability to work independently within parameters.
• Ability to communicate effectively and demonstrate proficient human relations skills to work with a varied level of internal and external customers to achieve effective problem solving.

Physical Requirements, with or without an accommodation:

Must be able to transport up to 40 lbs. occasionally while moving boxes of textbooks.
