Job Title: Sales Administration Associate
Reports to: Brian Hepfer, Sales Manager
Position Overview and Objectives:
The Sales Administration Associate focuses on supporting the sales team, managing prospective client communication, and ensuring initial work orders are accurate and comprehensive.
Responsibilities:
The selected candidate will be required to:
Interact directly with prospective clients in person, via phone, through email correspondence, and on social media as the first point of contact in the leads intake process
Send discovery call communication, managing the discovery call schedule, and conducting discovery calls
Coordinate administrative activities and communication between prospective clients, sales associates, sales manager, production coordinator, and the general manager
Handles all incoming sales inquiry phone calls, matching prospective clients’ communication style with empathy to meet their social needs
Appropriately schedules sales associates for site visits based on job needs and relationship fit
Manage all follow-up communication with prospective clients during the sales, estimating, and sales closing processes via text, email, and phone
Aid sales team in estimating processes as needed, including potential bid opportunities and bid preparation
Document all estimates from sales associates into job-tracking, CRM, and estimating software
Monitor progress of estimates and sales closure, reporting delayed closures to the Sales Manager weekly
Collaborate with the Production Coordinator in moving all sold jobs to in-production status
Builds communication flow, documentation, and organization processes to effectively streamline and continuously improve sales processes
Follows SOPs for all prospective client communication processes
Properly document worked shifts within the time-tracking system

Experience & Education required:
High School diploma or equivalent (GED) required
2+ years of experience in sales, customer service, or office administration
Proficient in Microsoft Office, particularly Word and Excel
Familiarity with CRM software preferred
Familiarity with construction processes, materials, and project management preferred
Skills in preparing estimates and understanding technical specifications preferred
