Job Description
We are seeking a dynamic and experienced Office Manager to join our team and oversee the administrative functions of our automotive repair facility. The ideal candidate will be highly organized, detail-oriented, and possess excellent leadership and communication skills.
Requirements
Proven experience in office management, preferably in the automotive repair industry
Strong leadership and communication skills
Detail-oriented with excellent organizational abilities
Ability to handle conflict and confrontation with factual information and documentation
Familiarity with BambooHR for time off requests, reviews, and documentation
Knowledge and skill to fill in all positions as needed within the team
Ability to manage and grow a diverse team based on workload
Responsibilities
Daily
Lead, Motivate, and inspire. Cultivate a Positive environment for all.
Attend and contribute to morning and mid-day release meetings to ensure proper coordination between the office and production
Manage and move tiles in Carbeat throughout the repair process
Assist and Manage CSRs with customer updates, arms updates, check-ins, and car beat tiles
Manage incoming emails and CCC inbox for items needing resolution
Write estimates or assist walk-in customers and appointments
Communicate with call center on new assignments and workload/schedule
Answer incoming calls as needed to help with CSR workload
Final bill/reconcile all RO’s. Review GP on parts, manage performance exceptions, run paint materials usage, and bill accordingly upon the completion of repairs
Follow up on sublets and post sublet invoices during the final bill process, as needed
Prepare warranty sheets and final bill packets prior to vehicle pickup
Follow up on any payments being issued to customers, submit final bill/supplement, ensure payment will be issued
Assist CSRs with QC, final photos, contacting customers, and delivering the final product
Weekly
Review GM Sheet every Monday for cycle time, CSI, WIP, AR, sales, shop eat, GP, batting average, Score card, etc.
Review Blueprint Accuracy using a Tableau, discuss results daily with DA writer and BP team
Perform two employee reviews per week until you’ve met with everyone; assign feedback semi-annually; complete manager and self-assessments semi-annually; adjust compensation according to skill and performance
Monthly:
Ensure ICAR courses and credits are completed
Attend and contribute to manager meetings
Work with parts manager on monthly reconciliation of part credits
Complete month-end closings; review monthly sales, CSI, and GP; ensure goals/benchmarks are met
Review Bonus Sheets with the team and communicate results
Hold monthly team meetings on process, trends, performance, and opportunities
Manage Onboarding/Offboarding of admin, detail, and lot tech employees; handle promotions/demotions within the same group
