Job description
POSITION OBJECTIVE:
The Registrar acts as a “communication link” between the students and the staff. This individual maintains all academic documents as well as provides student support to students needing assistance, including but not limited to academic, childcare, transportation, and other personal issues as determined by the Campus President. The person is not necessarily a certified counselor but provides the listening ear for the students. This position is responsible for documentation required for the academic and attendance records by preparing documents for the Campus President. The Registrar works with the Campus President in handling student issues as well. This position also assists with front desk duties as needed.
JOB DUTIES:
- Available, as needed or by appointment, to attend to, coordinate, and administer services to students, staff, and all internal and external customers and clients.
- Assist in prevention, evaluation, and resolution of student record issues, inquiries, and problems, and ensure appropriate action is taken to the satisfaction of the student, Intercoast, and regulatory agencies in compliance with policy, procedures, and legal requirements.
- Establish, maintain, process, update and uploads records, files, certificates, certifications and/or other documents in Orbund data base.
- Generate and distribute Acceptance letters/certificates, Awards
- Issue Student ID cards.
- Enter grades into Orbund data base.
- Enter Attendance into Orbund
- Confirm and upload LDA verification in Orbund data base
- Process and track High School transcript request forms.
- Track academic progress for Ability to Benefit (ATB) students, in conjunction with the Campus President.
- Maintain student records and filing.
- Track Academic and Attendance Probation/Removal from Probation, in conjunction with the Campus Director.
- Issue Requests for Leave of Absence forms; submit to Campus President for approval.
- Create COS and obtain supporting documentation for Leave of Absence (LOA).
- Monitor students on LOA and ensure that they return as scheduled or, if needed, process LOA extension for approval
- Send Surveys through Orbund for students on a Leave of Absence (Survey Monkey Link)
- Perform and document SAP (Satisfactory Academic Progress) Advisements and Appeals. Prepare Academic Plans.
- Notify students of F grades, (and advise on D grades for ADC students), schedule students for repeat courses on scheduling map and in Orbund
- Conduct Student Services Exits process with students
- Notify all concerned departments of any student status changes.
- Attend instructor meetings and administrative meetings, as assigned.
- Assist the Campus President in inventory and ordering of supplies and uniforms appropriate to programmatic and student needs.
- Distribute tool kits uniforms, books if applicable after student progress and file verification
- Establish and maintain up-to-date lists or binder of community based resources; including transportation, child care, housing, counseling, heath care, social services, shelters, support and self-help groups, mental health, disability, non-profit organization, emergency food, financial assistance, etc.
- Plan and assist in executing all graduation ceremonies, student appreciation events and student work-shops
- Drive student retention by working with student success partners and tracking weekly, and monthly reports
- Calls “at-risk” students and document result on Student Counseling Record and in Orbund Database on a daily basis.
- Build courses and roster students in Orbund
- Update the student “Scheduling Wheel” to track student program progress and to determine students’ next courses.
- Enroll student in the correct course each module by reviewing the Student Faculty Assignments in smart sheet.
- A minimum of 10 hours per week are required for telephone coverage and other basic front desk administrative duties as assigned. These hours may fluctuate based on the needs of the campus.
- Audit student file to ensure all documents are signed and completed and uploaded in Orbund data base
- Complete End of Module Process to ensure student meets Grade, Attendance, and GPA graduation requirements
- Add Enrollments to ORBUND and update Orbund status to Future Start, Audit EA to verify program and start date
- Facilitate WAM call by providing the LDIC report and troubleshoot “at-risk” students to find resolution to best support the student
- Assist academic advising and student support services as requested.
- Process initial graduate and drop files within the guidelines of the institution and send to corporate office for final verification
- Identify grads, drops, and cancels and communicate with corporate for processing during the All-In WAM meetings.
- Issue Chromebooks, as needed, after verifying students program progress and completion of financial aid
- Maintain student status and flip student to active, drop, LOA, Inactive, or cancel, as appropriate
- Monitor trial period students and change the student from Active Opt In to Active status in Orbund after 35 days
- Reviews Lab Sheets daily and posts attendance to Orbund ([email protected])
- Generates new start report and confirms new start students. Works as a liaison between Student Success Partners and Admissions Department to ensure students have a successful module
- Update student status bi-monthly through NSLDS/Excel for the Department of Education SSCR's reporting
- Monitors and track Directed Study students courses and communicates with students and Academic Advisor: Student Success & Mentoring
- Other duties assigned by supervisor(s).
QUALIFICATIONS:
1. A minimum of three years customer service experience and/or Student Affairs experience
2. Typing speed of at least 35 words per minute
3. Basic computer skills (Outlook, Word, Windows, etc.)
4. Availability to work evenings and Saturdays is required
Excellent customer service skills with motivation and enthusiasm with a sensitivity to student needs
Job Type: Full-time
Pay: $19.00 - $23.00 per hour
