Responsibilities:
PrairieCare Fund (PCF) is a registered not-for-profit in the state of Minnesota. The mission of PCF is to transform lives by fostering mental health and well-being among youth and families. PrairieCare Fund focuses its efforts on two giving areas, supporting youth mental health at all age levels, and supporting Minnesota non-profits and their mental health related causes.
Responsibilities and Accountabilities:
- Complete the grant application intake, setup, award, and payment processes for approximately 150 grants annually, including data entry as needed.
- Coordinate the tracking and intake of grantee learning and evaluation reports.
- Support the administration of the grant management system including system setup and configuration for users, data management projects, and configuration of standard and ad-hoc reports and correspondence templates.
- Answer questions and respond to inquiries from the community, grantees, staff and clients regarding the Foundation’s grantmaking policies and practices.
- Ensure the accuracy and completeness of grant records and files, including adherence to the Foundation’s Record Retention Policy.
- Complete data analysis, reports and dashboards.
- Assist staff on topics related to grantmaking systems, tools and topics.
- Work on special projects and other duties as assigned.
- Elevate emerging issues that require prompt attention.
- Process expense reports.
- Maintain a well-organized filing system for important and sensitive information that is confidentially stored but easily accessed by the Executive Director.
- Maintain an accurate database of contacts in Outlook.
- Schedule recurring meetings with Board, Committee and Executive Committee members, and other tasks as requested.
- Coordinate as needed, logistics for meetings: including reserving conference rooms/venues, room set up and clean up, preparing meeting materials, arranging refreshments/catering, ordering supplies, launching video conferencing and technology, registering visitors with building security, validating parking, etc.
- Attend meetings upon request, take notes or minutes, capture action items, and ensure follow through.
Qualifications:
- College degree in communications, marketing, public relations, social science, or related field. In lieu of college degree, minimum of 3 to 5 years of experience in marketing and communications.
- Nonprofit marketing, community relations, fundraising, and event management background is preferred.
- Experience working with a team of 2 or more, interns and volunteers, is preferred.
- Fluency in Microsoft Office (specifically Word, Excel & Publisher), Adobe In-Design & Illustrator, as well as the curiosity to learn new technology and software.
- Fluency or ability to learn OneCause/BidPal, Bloomerang, Weebly or other website & event software programs.
- Subject matter expert in social media applications (Facebook, Twitter, LinkedIn & Instagram).
- Ability to maintain confidential information.
- Demonstrated ability to be detail oriented, organized, flexible, resilient and team oriented are required.
- Requires strong communication skills, both verbal and nonverbal.
- Must be able to manage multiple projects simultaneously. Ability to seek clarification if prioritization is necessary or directives are given by Executive Director and/or Board Members.
- Ability to work nights, weekends, holidays, and being present at scheduled events is required.
- Some travel may be required with the community.
