Job description
Isidore Newman School seeks a hardworking, highly organized, talented, dynamic Assistant Athletic Director for the 2024-2025 academic year. The role of the Assistant Athletic Directo r is multifaceted. The successful applicant will possess excellen t speaking, writing, and interpersonal skills, demonstrate strong organizational, time and office management skills, be technologically savvy, highly collaborative and committed to working in a team environment. This consummate, mission aligned, team member will also be highly flexible, adaptable, and express a strong aptitude for cultural competence.
The most important qualifications include:
- Bachelor's Degree required for this position.
- Perform duties, provide oversight and supervision, and in consultation with the Athletic Director, help make decisions for the athletic department.
- Assist the Athletic Director with duties (oversight, supervision, leadership, etc.) when the Athletic Director is away from school on official business.
- Working successfully with our athletic teams and their stakeholders (coaches, parents, teachers, administrators, referees, LHSAA and NOAL, vendors, etc.)
- Possessing a high aptitude for cultural competency.
- W orking with a growth mindset and open to feedback from all stakeholders.
- Possessing a strong competency in Microsoft Word, Excel, Outlook, as well as Google Sheets, Google Docs and Arbiter.
- Willingly contribute to school activities outside of the assigned responsibilities.
- Genuinely love to work with children and educators at the middle school and upper school levels.
- Coaching at the middle or upper school level is required.
Responsibilities: Leadership, Compliance, Operations, and Finance
Leadership
- Perform duties, provide oversight and supervision, and in consultation with the Athletic Director, help make decisions for the athletic department.
- Assist the Athletic Director with duties (oversight, supervision, leadership, etc.) when the Athletic Director is away from school on official business.
- Assist with home game logistics and game management including coordination with facilities (event setup), arrangement for payment of officials, oversight of games and contests and any other assigned duties (concessions, ticketing, VSN, HUDL, etc.)
- Share, along with the Athletic Director, oversight and supervision of all coaches, grades 6-12.
- Participate in the recruitment, interviewing, hiring, and retention of all coaches, grades 6-12.
- Serve as the point of contact for all new hires and run point on the onboarding process.
- At the beginning of each season, collaborate with each head coach, both Middle and Upper School, to ensure the pre-season checklist is adhered to.
Compliance
- LHSAA Compliance - these duties will include but are not limited to: LHSAA registration of all student athletes, coaches and administrators, Magnus Health submission and confirmation, Newman/LHSAA grades and roster upkeep.
- Record and submit eligibility documents with the LHSAA prior to each season and assist the Athletic Director in adhering to LHSAA rules and regulations.
- Assist in filing forms for Hardship cases, Eligibility Ruling Requests, as well as provide oversight and assistance on regular compliance visits.
- Develop and maintain a working understanding and comprehension of the LHSAA and its eligibility rules and regulations.
- Work in conjunction with the Athletic Trainers to ensure that all coaches have health forms on file for all student athlete participants.
- In conjunction with the Director of Human Resources and the Director Security, work to ensure all new hires are in compliance with all required LHSAA/NFHS, safe school training and onboarding tasks.
Financial
- Purchase, track, and account for athletic department purchases of supplies, equipment, uniforms, etc.
- At the conclusion of each middle school and varsity season prepare a summarized budget report to be reviewed by the Athletic Director and Head Coach.
- Work with the Business Office to ensure all referees, vendors, organizations, etc. are paid in a timely manner.
- Work with the Business Office to ensure the Athletic Department budget is carefully maintained and supervised.
Operations
- Work with coaches to manage and update the iNewman calendar, the athletic calendar, the internal Week at a Glance and the school web page.
- Work with the Communication Department to prepare and post the Green Email.
- Assist in the planning, hosting, and developing of all award programs. Submit pertinent information to print certificates and plaques for the athletic award ceremonies.
- Work in conjunction with coaches and the Director of Facilities on a daily and weekly basis to schedule buses for athletic teams and continually update as the athletic schedule changes.
- Help facilitate all out-of-town travel for upper school teams (hotels, meals, buses, and team travel itineraries).
- Assist the Athletic Director in coordinating the use of all athletic facilities by groups outside of school (update the SchoolDude calendar).
- Supply each official association with sport schedules to ensure coverage of athletic events; continually update and contact the associations, on a daily and weekly basis, when games are cancelled or rescheduled.
- Report needed setup, improvement, or maintenance of athletic facilities to the Director of Facilities.
- Respond in a timely and appropriate manner, both by email and by phone, to student athletes, coaches, parents, colleagues, referees, LHSAA, vendors, etc.
- Answer the phone in the athletic office and check email, postal mail, and voice mail throughout the day.
- Mail, file, and maintain all athletic contest contracts.
