Job description
A premier packaging company is looking for an ambitious AP/AR Specialist to provide support to the financial department by managing daily accounting tasks. You will be part of a team of professionals working to maintain order and transparency for the company’s finances. The AP/AR Specialist will work closely with the Accounting team and will handle all activities and operations of the accounts payable and accounts receivable function. RESPONSIBILITIES:
- Ensure the financial processing of transactions - payables and receivables - are approved, reconciled and processed accurately and timely.
- Support the company in streamlining and optimizing the financial processes and systems.
- Input invoices and ensure the general ledger accounts are correct.
- Perform weekly AP vendor payment run - input invoice details including proper general ledger accounts, performing 3-way match for inventory items (purchase order, receiving documents and invoices), obtaining approvals, create weekly payment report for bills that are due, input the data (ACH, wires, checks and auto drafts) into the ERP system and submit to manager for review and funds to be released.
- Set up new vendors in ERP system - obtain W9, banking information, complete new vendor form and obtain approvals then input the information into the system.
- Create and understand AP aging reports and understand what action to take as a result.
- Review and reconcile bank accounts daily - apply payments to customer AR and create vendor AP bills and apply payments to vendor accounts.
- Create AR reports regarding the current status of customer accounts as requested.
- Review files, draft and communicate correspondence for past-due customer accounts.
- Perform journal entries for bad debt.
- Execute credit card and bank account reconciliations.
- Review monthly sales tax by state monthly, identify and correct discrepancies and send for approval.
- Exercise integrity and confidentiality in financial reporting and comply with local and national financial requirements.
- Prepare and execute annual 1099’s.
- Assist in month-end close including reconciliations and some journal entries.
REQUIREMENTS:
- BS degree in Accounting or Business preferred or equivalent experience.
- 3+ years’ experience in AP or/and AR.
- Experience with Expensify, Concur or similar credit card and reimbursement management platforms.
- Excellent interpersonal and customer service skills to interact with employees, customers and vendors in a professional and confidential manner.
- Able to prioritize workload to meet deadlines and work independently.
- Detail oriented and results driven.
- Comfortable working with ambiguity and fast-paced company.
