ACCOUNTS PAYABLE COORDINATOR/STAFF ACCOUNTANT

SUMMARY OF RESPONSIBILITIES :

Responsible for all normal and customary A/P functions of a private country club, as well as general accounting duties, including but not limited to, maintaining accurate records of A/P vendors, issuing timely payments on account, reconciling monthly open invoice vendor statements, maintaining auditable paid invoice files, assist with collection and disbursement of all incoming mail, maintain/order stock of office supplies, participate in month-end close process by preparing and posting various recurring journal entries, prepare select general ledger account

analyses, prepare select bank account reconciliations, assist with researching monthly actual to budget variances, prepare and maintain select schedules for annual audit, assist with maintaining club files for contracts and licenses, complete ad-hoc reports as required, prepare and file monthly sales and use tax, perform other duties as assigned by the General Manager or Controller as needed.

ESSENTIAL FUNCTIONS – Accounts Payable:

·

Coordinates collection and distribution of all incoming invoices to appropriate departments for coding and approval.

·

Coordinates collection of all departmental approved and coded invoices, reviews for accuracy and completeness, and forwards to Controller/GM for final approval before entering in Jonas.

·

Enters all invoice payment information into Jonas accounts payable system, including detailed description.

·

Generates bi-weekly open aged payables list and forwards to Controller for review and selection of invoices to be paid.

·

Processes payments for selected invoices via check, credit card or ACH as required.

·

Obtains necessary signatures (checks) and mails payments with appropriate remittance advice.

·

Files all backup and payment information in a timely manner and maintains organized, accurate (auditable) vendor files.

·

Coordinates collection of and reconciliation of monthly open invoice vendor statements.

·

Handles all A/P related inquiries in a mature, professional manner.

·

Processes

all reciprocal club invoices and coordinates billing to proper member account.

·

Ensures proper and timely filing of year-end 1099’s.

ESSENTIAL FUNCTIONS – Staff Accountant:

·

Participates in month-end close process.

·

Prepares and posts recurring journal entries.

·

Prepares select general ledger account analyses.

·

Prepares select bank account reconciliations.

·

Assists with researching actual to budget variances.

·

Prepares and maintains select schedules for annual audit.

·

Assists with preparation of bank deposits as needed.

·

Assists with calculating and preparing gratuities for bi-weekly payroll processing.

·

Maintains F&B inventory worksheets with up-to-date pricing information.

·

Prepares end of month house X-account reconciliations.

·

Prepares ad-hoc reports as needed.

OTHER FUNCTIONS:

·

Assists with collection and distribution of incoming mail.

·

Assists with maintaining club files for contracts and licenses.

·

Orders and maintains stock of office supplies.

·

Performs other duties as assigned by the General Manager or Controller.

CANDIDATE EXPERIENCE AND QUALIFICATIONS :

·

College Degree, with an accounting/finance focus, or comparable work experience.

·

Two (2) – three (3) years of experience in a country club accounting environment or a related field.

·

Detail-oriented with a keen eye for accuracy.

·

Ability to maintain confidentiality.

·

Strong organizational and time management skills with the ability to handle multiple tasks simultaneously.

·

Excellent written and verbal communication skills.

·

Proficient in Microsoft Office products, primarily Excel and Word.

·

Experience with Jonas Club Software (Encore) preferable, but not required.

·

Ability to work independently and as part of a team in a fast-paced environment.

·

Positive attitude, strong work ethic, and a commitment to continuous learning.
