Posting Details Position Information Position/Classification Title Administrative Support Specialist Working Title Administrative Support Specialist Competency Level Journey Position Number 100510 Salary Grade Equivalent GN06 FLSA Non-Exempt Appointment Type Permanent - Full Time FTE 1 = 40 hours/week, 12 months If time limited, duration date Department Hiring Range $34,114- $44,147 EEO-1 Category Administrative Support Workers SOC Code 43-6014 - Secretaries and Administrative Assistants, Except Legal, Medical, and Executive Position Overview Primary Function of Organizational Unit The purpose of this organizational unit is to administer all of the student financial assistance, and to coordinate all of the Title IV student assistance programs, in which the institution participates, with the institutions' other federal and non-federal programs of student financial assistance. Our population exceeds 7,500 students with over 90% receiving financial assistance through our office. This unit is responsible for the accountability of approximately $50 million in student assistance Primary Purpose of Position The Primary purpose of this position is housed in the Eagle Service Center. This position is responsible for reviewing student's accounts to ensure that data or information given to customer is accurate at all times for the areas of Undergraduate Admissions, Scholarships and Student Aid, Student Accounting and Student Health. Required Knowledge, Skills, and Abilities The required knowledge, skills and abilities required for this position include knowledge of office and work policies and procedures. Effective communication skills as they position is in high contact with students, faculty and staff. Knowledge of how to use computer, copier, fax, scanner and calculator. Applicant must be able to compile, file and maintain documents in an orderly and professional manner. Minimum Education/Experience High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience. Work Hours 8:00am - 5:00pm - Monday - Friday Position required to work during periods of adverse weather or other emergencies No Campus Security Authority Designated Position No Key Responsibilities and Related Competencies Required Competency Managing Work Processes Duties Review Banner system (screens) to inform customer if documents are complete or incomplete and what is needed in order to complete the process for the departments covered by the Eagle Service Center. Assist with call campaigns and awarding as needed. Serve as first point of contact for Undegrad Admissions Required Competency Decision Making Duties Operate within the given parameters of authority in giving information and making obligations. Employee must notify the student via phone, mail or email when updates are performed. Communicate issues and complaints timely with supervisor. Required Competency Information/Records Administration Duties Review and accurately interpret records and information in Banner and NextGen in order to respond to students and parents inquiries. Calculate customers bill/back bill to ensure that accurate information is given. Key comments on RHACOMM Required Competency Coordination - Operations Duties Employee must answer all phone calls by third ring and cause no caller/visitor complaints. Other duties as assigned. Required Competency Customer Service Duties Employee must make every effort to assist students with reviewing student's accounts to ensure that information given to customer is accurate at all times as it relates to Undergraduate Admissions, Scholarships and Student Aid, Student Accounting and Student Health.
