Academic Affairs Project Manager Job Description
Essential functions: The Academic Affairs Project Manager will be responsible for the preparation and organization of the medical student, and physician assistant (PA) educational programs, as well as shadowing and observation experiences for all AHS learners. They will provide administrative support to the Assistant Dean for the Sidney Kimmel Medical College branch campus and the Director of UME for AHS. They will be responsible for the compilation of data and program reports as required by medical and PA school affiliates and AHS. They will coordinate all onboarding activities and responsibilities. They will support, as necessary, other programs and endeavors within the education mission.
Undergraduate Medical Education/PA Education Support (0.75 FTE)
- Act as primary liaison to all affiliates for medical, PA students, as well as observation and shadowing experiences for these groups.
- Maintain communication with Dean’s Office, Division of Academic Affairs, and other clerkship administrators
- Provide oversight to and be a resource for Medical Clerkship Administrators
- Act as liaison to AHS/AMG departments that educate medical and PA students as well as providing oversite and supervision for observation and shadowing experiences.
- Work with UME Director and AHS Clerkship Directors to ensure that AHS is providing equivalent student experience as required by LCME, COCA or other accrediting bodies
- Assist in recruiting of students for AHS rotations
- Assist in outreach and recruiting efforts for UME to GME transition
- Coordinate internal communications with other departments, e.g. ISS (Oracle)
- Assist UME faculty in obtaining faculty appointments for main affiliate partners as applicable in a timely manner
- Assist in preparation of faculty performance evaluations or educational portfolios for appointment, promotion, and teaching awards;
- Assist in preparing MSPEs and/or letters of recommendation for students
- Coordinate UME faculty development to support educators/Align with other educational programs throughout the system
- Oversee programmatic evaluation and maintain data and reporting on UME aligned activities
- Assist with onboarding of AHS learners (predominantly PAs and medical students as well as observation and shadowing experiences)
Additional General Support Activities for the Division of Academic Affairs (0.25 FTE)
- Provides support to Manager, Academic Affairs, MMC UME Coordinator I, and OMC GME Coordinator II, as needed.
- Supports other members of Academic Affairs team as needs arise, e.g. medical leaves, vacations
Reports to: Director, Undergraduate Medical Education
Education : Requires a minimum of Bachelor’s Degree
Qualifications/Requirements : Minimum 1 year working within a healthcare of education setting. Candidate must be able to multitask and have the ability to work flexible hours to accommodate the program needs.
