Job Description
Role
The Wood Procurement Administrative Assistant will primarily support the Fiber Supply group in all activities pertaining to wood fiber procurement. Incumbent will coordinate, process, and maintain all the settlement and transactional functions for timber and wood fiber purchases, purchase requisitions, as well as report distribution. The position will support tasks around Safety, Database Management, Contract Management, Auditing, and Certification. The incumbent will heavily use industry driven database software (Log Inventory Management System – LIMS) and accounting software (SAP).
Accountabilities
- Process and reconcile daily wood receipts.
- Execute weekly wood settlements, statements, and payments to Suppliers and Vendors.
- Process out-sales of logs, bark, and other forest products for invoicing.
- Set up new Suppliers, Vendors, and Customers for business and maintain existing lists.
- Update, maintain, and distribute daily and weekly inventory reports.
- Maintain workers compensation and insurance information for contracted Suppliers.
- Enter purchase requisitions for products and services.
- Set up timber, log, and wood chip purchases within LIMS for payment to Landowners, Loggers, and Haulers.
- Orders office supplies and manages correspondence to / from respective Woodlands staff members.
- Execute period, month-end, and other close-out reporting / functions.
- Other supportive duties and tasks, as assigned.
Qualifications
- One to three (1 - 3) years of experience as an administrative assistant with accounting exposure.
- High school diploma or equivalent. An Associate’s degree considered a plus.
- Must be detailed oriented and possess strong MS Office skills (Excel, Word, Power Point, Outlook).
- Excellent communication skills, both verbal and written. Incumbent will be in direct communication with landowners, loggers, haulers, Mill team members (Finance, Operations, and Procurement), and other key stakeholders.
- Must be a self-starter with the ability to work independently and without supervision.
- Reliability and punctuality a must.
- Ability to embrace and be receptive to change.
- Must be able to work in a fast-paced team environment and manage multiple objectives with the ability to prioritize.
- Ability to wear required personal protective equipment on occasion (safety glasses, hard hat, full coverage footwear, and safety vest).
