Job description

OVERALL RESPONSIBILITIY

The Office Administrator assists the Executive Director of the Institute in the coordination of its services and projects that aim at fulfilling Bridgeport Diocese's efforts towards the young church. He/she will do this by managing the office of The Institute for Catholic Formation and supporting the day-to-day operation with its primary goal being to help the Institute run ministerially, professionally and efficiently: Events are appropriately coordinated and recipients feel it was a good use of their time; communication, whether verbal or in writing, is accurate, effective and timely; the budget is well-managed and balanced; and outside vendors feel valued and heard.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Serving as a liaison between other diocesan offices and fostering a good working relationship with colleagues in ministry
  2. Coordinating all events held by the Institute, including but not limited to event registration, logistics, food and beverage, and materials
  3. Providing administrative assistance, such as writing and editing communications on the director's behalf
  4. Maintaining comprehensive and accurate records of attendance at Institute events, liturgical mandates, and the like
  5. Performing minor accounting duties such as creating invoices, communicating with the finance office, tracking expenses, etc.
  6. Organizing meetings, including scheduling with participants (both internal and external to the Diocese), organizing conference rooms, sending reminders, and organizing catering when necessary
  7. Answering phone calls in a polite and professional manner and responding to questions
  8. Managing the executive director's calendar, including making appointments, setting Zoom calls, managing reimbursements in a timely manner, and prioritizing the most sensitive matters
  9. Managing the Institute's calendar of events and its website, making updates and corrections timely and as needed
  10. General office duties, including ordering supplies, opening mail, and managing reimbursements
  11. Providing support to boards and teams (communication, minutes, etc.)
  12. Managing LEAD, the online learning platform for The Leadership Institute
  13. Assisting parish personnel to navigate LEAD
  14. Manage large events (i.e., NCYC), including travel arrangements, registration, etc.
  15. Manage the Family Bible Challenge
  16. Manage the annual calendar planning for the Institute
  17. Manage Spanish marriage formation, including registration, communication with mentor couple, ordering food, creating certificates, etc.
  18. Able to attend requirements on evenings and weekends
  19. Additional duties as assigned

EDUCATION/QUALIFICATIONS

  1. Associate's Degree in communications, business or related field or equivalent experience; Undergraduate degree preferred
  2. Three to five years of related significant and diversified administrative experience
  3. Creative, goal and team-oriented
  4. Microsoft Office/Suite proficient (Excel, PowerPoint, Word) and experience utilizing project management software.
  5. Prior experience working in an Apple environment preferred
  6. Solid problem solving and time management skills
  7. Able to work independently with little supervision and multitask efficiently and effectively, completing work in a timely, accurate and thorough manner
  8. Great interpersonal skills, with solid decision-making and leadership capabilities and ability to work with the Executive Director as a team
  9. Excellent communication skills (written and verbal) with superiors, colleagues and individuals inside and outside the organization
  10. Conscientious and highly organized with sharp attention to detail
  11. A strong work ethic and desire to exceed client expectations
  12. Practicing Catholic in good standing with the Church
  13. Some evening and weekend work required
  14. Bi-lingual, Spanish fluency desired
