THE DEPARTMENT New Student Programs and Family Engagement is responsible for preparing entering students for academic and personal success by providing an effective transition to the university from the point of admission through the end of the students' first year. New Student Programs and Family Engagement provides information, communication and services to incoming students and their support system to orient them to the traditions, mission, philosophy, and culture of the campus and to make them knowledgeable about Cal Poly Pomona's opportunities, resources, challenges, and programs. New Student Programs and Family Engagement designs, plans, implements, and assesses mandatory online and in-person orientation events, as well as the ongoing engagement of family members and supporters throughout the academic year. The position will bring together existing decentralized institutional programs, services and activities for parents and families under one functional administrative structure to ensure optimum coordination and resource management, timely response and referral and identification of additional opportunities to enhance parent/family relations and outreach.
New Student Programs and Family Engagement serves as the administrative office for the mandatory student orientation programs parent/family orientation, and parent/family communication. The office is responsible for compliance with federal, state, CSU System and university requirements and the timely and accurate dissemination of information to students, parents, families, supporters, and campus constituents.
New Student Programs and Family Engagement is housed within the Division of Student Affairs and is part of the Student Experience cluster that reports to the Director of New Student Programs and Family Engagement. New Student Programs and Family Engagement works collaboratively with campus partners in support of enrollment management goals, student success and retention, equity and belonging, and institutional planning.

In performing the duties assigned to this position, the incumbent is expected to consistently demonstrate attitudes and behaviors that are in keeping with the division's philosophy and values.
DUTIES AND RESPONSIBILITIES Orientation Leader Supervision - Recruit, recommend for hire/termination, train, and lead student orientation leader team of approximately 40 students, including orientation leaders and peer leader team captains.
- Ensure recruitment practices are inclusive and yield an applicant pool reflective of the CPP population.
- Provide task direction, work assignments, performance feedback, conduct expectations, and corrective action for orientation leaders and team captains.
- Ensure orientation leaders and team captains execute their responsibilities appropriately and effectively as representatives of the department, division, and university.
- Ensure orientation leaders and team captains follow all university employment guidelines and comply with labor law.
- Regularly assess training curriculum for effectiveness and make improvements.
- Process and maintain student hiring paperwork and payroll, in collaboration with other orientation staff and division operations staff.
- Develop a training and onboarding plan for orientation captains and leaders that includes conflict resolution, support and wellbeing, peer-to-peer support, customer service and communication, as well as other practices within the field of student services.
- Collaborate with campus partners within the Division of Student Affairs and across other divisions to ensure Orientation Leaders have the knowledge and skills to support the transition of new students to campus.
Orientation and Transition Planning & Implementation - Together with the orientation professional staff team, plan and implement new student orientation events (both in-person and virtual). Tasks include, but are not limited to: developing program agendas, making room reservations, scheduling speakers, ordering and preparing materials, writing communications, creating learning outcomes, developing assessments.
- Together with the orientation professional staff team and campus partners, plan and implement first-year transition programming.
- Collaborate with the orientation professional staff team, divisional, and campus partners on communication plans, including but not limited to website, emails, social media, and printed materials.
- Serve as program lead during both in-person and virtual new student orientation events transitional experiences in rotation with other professional staff and graduate interns.
- Research and propose student engagement activities that support belonging and peer-to-peer connection to be facilitated through orientation and transition programming throughout the academic year.
New Student Enrollment Support - Advise new students throughout the orientation and transition process and identify resources, resolutions, and referrals if they encounter enrollment issues. This includes collaborating with the academic advisors.
- Work with the Division of Academic Affairs, mainly advisors, to ensure Orientation support is sufficient to the needs of the Academic Colleges and their incoming enrollment numbers.
Administrative Support - Take responsibility for various administrative tasks related to orientation leader supervisions and orientation planning, including but not limited to, room reservation, procurement card reconciliation, Information Technology (IT) Security / Assessment Technologies Institute (ATI) review requests, purchase order requisitions, and budget ledger entries.
Student Affairs / University Committees - Represent New Student Programs and Family Engagement on a variety of divisional and campus-wide committees.
Graduate Intern Management - In partnership with other professional staff, recruit, interview, hire, train, and lead seasonal graduate student interns.
- Provide task direction, work assignments, performance feedback, conduct expectations, and corrective action for graduate interns.
- Ensure graduate interns execute their responsibilities appropriately and effectively as representatives of the department, division, and university.
- Ensure graduate interns follow university employment guidelines and comply with labor law.
QUALIFICATIONS - Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related.
- Possession of these knowledge and abilities is typically demonstrated through the equivalent of three (3) years of progressively responsible professional student services work experience. One (1) year in the program area to which assigned may be preferred but is not required.
- A master's degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one (1) year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three (3) years of experience for positions with a major responsibility for professional career or personal counseling.
- Thorough knowledge of the principles of individual and group behavior.
- General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures, and practices of the program area to which assigned.
- General knowledge of individual counseling techniques.
- General knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific campus to which the position is assigned.
- Working knowledge of student services programs outside the program to which immediately assigned.
- Ability to:
- Analyze complex situations accurately and adopt effective courses of action.
- Advise students individually and in groups on complex student-related matters.
- Determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature.
- Interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze, and define the problem, draw valid conclusions, and project consequences of various alternative courses of action.
- Carry out a variety of professionally complex assignments without detailed instructions; and establish and maintain cooperative working relationships with a variety of individuals.
PREFERRED EXPERIENCE - A Master's degree in a job-related field preferred.
- At least three (3) years of progressively responsible work experience in student affairs/student services (a master's degree in a job-related field may be substituted for one (1) year of professional work experience).
