Job Summary:
TheOffice Services Managerwill provide effective and efficient office service support for the personnel of UGI Corporation and AmeriGas Headquarters. They are responsible for overall facilities management of the Valley Forge UGI Building, lead the approach to building security and safety, and provide support for UGI Corporation Travel program.
Job Responsibilities:
Office Services
Provide consistent and high-quality office service support for the personnel of UGI Corporation and AmeriGas Headquarters:
Direct activities of Office Services staff in day-to-day functions including mail services, front desk, messenger services, and office supplies/ equipment.
Ensure safety of the office and appearance, supports a safe and productive work environment.
Manage Office Services team, including development of team, training and performance management. Ensure adequate cross-training to balance the workload and maintain uninterrupted delivery of services.
Provide backup support for Office Services team in day-to-day office services functions as it relates to team breaks, vacations, or out of office requests.
Create, document and train Office Services staff on all building and office services procedures.
Select, manage and maintain relationships with onsite and offsite vendors, act as primary point of contact for representatives, negotiate contracts, and provide onsite support when vendors need to access the building.
Manage the utilization of office furniture, supplies, equipment, and wireless services for UGI Corporation. Manage company cars, and other Office Services related items.
Responsible for office space planning, layouts, renovations, furniture and equipment. Assess and evaluate physical space requirements in the office environment and recommend plans to meet business needs.
Professionally interface with employees to understand and respond to needs, problems, and non-routine activities as they relate to the functions of the Office Services Department. Ensure a positive customer service experience is being delivered.
Prepare building facilities for events including employee luncheons, training, and business meetings. Coordinate related Office Services functions to support these events.
Create routine and ad hoc professional communications with building tenants to keep them up to date on building maintenance and other concerns related to the facility or office services.
Participate on projects as assigned related to engagement including United Way for Valley Forge as needed
Facilities Management
Create and maintain a customer focused atmosphere. Responsible for overall facilities management of the UGI Building:
Direct the external landlord in the maintenance and repair of the building, grounds, equipment, and all related electrical and mechanical systems. Develop preventive maintenance schedules to ensure the continued efficient operation of all building systems.
Direct and control capital improvement projects and oversee work of outside contractors. Ensure the building is secure and complies with all public licensing, fire code, safety standards, etc.
Create, review, and monitor the fiscal year budget for both Office Services and UGI Properties. Manage invoices, ensure accurate payments and control costs.
Conduct cost-control reviews for building and property related projects and ensures communication with senior management.
Create and maintain documentation for buildings systems and procedures as needed.
Continuously update building policies, procedures and systems to deliver efficiency, employee safety, security and clarity to employees.
Select and manage vendors, negotiate contracts and costs for all building services including cleaning/janitorial services, cafeteria etc.
Corporate Travel
Provide support for UGI Corporation Travel program:
Direct, effectively implement and manage the negotiations and competitive bid process for the company travel agency every three years.
Communicate with UGI management and the Travel Agency to provide recommendations for improvement of travel policy and procedures.
Liaison with all contracted travel related vendors through corporate travel agency to negotiate supplier contracts.
Resolve travel related issues in cooperation with the Travel Agency representative.
Monitor and advise on cost associated with corporate travel
Knowledge, Skills, & Abilities:
Excellent verbal and written communication skills
Manage a team Ability to effectively manage a team of direct reports to meet the needs of the business
Ability to manage and maintain relationships for offsite vendors for effectiveness, efficiency and experience
Extensive knowledge of MS suite.
Ability to problem solve and ability to prioritize projects at one time
Demonstrated ability to learn new topics and skills effectively
Position must be onsite five (5) days a week during core building hours and able to come to office building outside of normal hours in a building emergency (as needed)
Education & Experience:
High School Diploma, bachelor’s degree from an accredited institution strongly preferred
Min of 8+ years’ experience in Building Management/Office Services
