About this position: As a condition of employment, all applicants are required to pass a pre-employment drug screen and background check. Schedule: Monday-Friday.
Wage Range: $18.00 - $21.00 per hour, depending on experience.
We are seeking a motivated candidate with a positive demeanor and willingness to join our incredible organization as Administrative Assistant 1. This position is both challenging and rewarding. The ideal individual will enjoy multitasking, have great communication skills, accurate data entry and have a pleasant/friendly personality when meeting customers in person or on the phone. We are looking for a career-oriented team player.
As Administrative Assistant 1, you will perform administrative duties to support branch sales and operations. Your primary role is to process sales orders and material certifications, dispatch inspections and schedule outbound deliveries. You will also function as a backup for several related office tasks and be cross-trained in all office responsibilities.
Key responsibilities for this role include:
- Order entry into industry specific software – Applied Systems Associates and Sage MAS500.
- Generate material certifications in Microsoft Office Suite of products for review and consideration by third party inspectors.
- Daily filing and updating of job files. Frequently review and close jobs as needed to prepare files for long term storage.
- Provide excellent customer service by promptly answering phone calls, assisting with any certification questions, scheduling, and quote requests as needed.
- Cross train in other office positions to cover vacations, etc.
- Check inbound faxes, handle UPS Shipments, send samples to DOT’s as required, and process any credit card payments.
- Order office supplies as needed to avoid negative quantities.
- Dispatch for repairs on office equipment and ensure equipment is properly maintained.
Minimum Qualifications:
- High school diploma or equivalent required.
Preferred Qualifications:
- Proficiency with computers and Microsoft programs required.
- Ability to proficiently complete simple mathematical calculations.
