Job description
Madden Industrial Craftsmen is looking for an Administrative Specialist for a client located in Clackamas, Oregon who specializes in custom machine work and manufacturing.
Position Summary:
The person in this dual responsibilities position will coordinate all activities involved in the day-to-day operations of the human resources functions and duties, including benefits administration, compensation/payroll, organizational development and executive administration, as well as process AP items.
Essential Functions (Human Resources):
Maintain personnel files in compliance with applicable legal requirements.
Protect organization’s value by keeping information confidential.
Keep employee records up-to-date by processing employee status changes in a timely fashion.
Maintain listing of employee demographics, employee benefit status, and salary/pay grade levels.
Review employee benefit enrollment forms for accuracy and coordinate with third-party administrators.
Assure compliance with COBRA guidelines by notifying third party administrator, following process through to completion and recording all payments.
Coordinate health, life and dental insurance enrollments and communicate with service providers.
Prepare/complete forms required to place employees on payroll and establishes personnel files.
Maintain employee handbook with updated information and legislation as needed.
Maintain up-to-date safety information and forms, ensure proper documentation of workplace accidents/injuries, file claims with third party administrator, monitor progress of claim through completion, and properly record and file claim information.
Essential Functions (AP):
Sort, code and match AP invoices, collect, process and enter AP invoices into system, and set AP invoices up for payment.
Maintain current accounts payable list and process vendor check run.
Manage paid and unpaid vendor invoice file records.
Manage paid and unpaid customer invoice file records.
Essential Functions (Accounts Receivable):
Provide coverage overflow to office administrator/AR specialist.
Generate customer invoices.
Follow established procedures for processing receipts, cash, etc
Other Duties and Responsibilities:
Assist Controller and President as necessary.
Schedule recurring facilities maintenance activities.
Coordinate and document ISO (International Standards Organization) quality discussions.
Be proactive in organization development, policy development and documentation.
Update job knowledge by participating in educational opportunities.
Prepare reports by collecting, analyzing and summarizing data and trends.
Consistently arrive to work and on time, follow instructions, respond to management direction and solicit feedback to improve performance.
May be required to perform other related duties as required and/or assigned.
Knowledge Requirements:
High level of interpersonal skills to handle sensitive and confidential situations and documentation.
Basic knowledge of company GL account code structure for cost assignments.
Considerable knowledge of principles and practices of personnel administration.
Knowledge of all pertinent federal and state regulations and filing and compliance requirements for employee information and benefit programs.
Quality Control – demonstrate a high level of accuracy and thoroughness, monitor own work to ensure quality and apply feedback.
Safety and Security – observes safety and security procedures and use equipment and materials properly.
Attention to detail, applying thoroughness and thoughtfulness to all work.
Knowledge of company’s policies and procedures.

Education and Experience:
3-5 years of Human Resource experience and Bachelor’s (BA/BS) degree preferred.
