Job description
To serve as administrative assistant to the Dean by coordinating administrative office and Divisional procedures to reflect efficient and professional outcomes
Key Responsibilities :
- Serve as the office manager for the Dean of Students Office of Multicultural Affairs which includes:
- Hire, train and supervise student assistants.
- Supervise routine office duties of student assistants.
- Maintain DSO and OMA budget records & assist in overall management of departmental budget: coordinate purchase orders, credit card reconciliation, check requests, transfers and deposits; oversee DSO & OMA student payroll; maintain DSO & OMA student payroll records, provide monthly budget summaries, etc.
- Maintain Outlook calendars for Dean of Students, Associate Dean of Students and Director of Multicultural Affairs.
- Coordinate administrative support for student conduct system (including sexual misconduct student cases), parking appeals, Care Team and the Withdrawal for Health Reasons process.
- Prepare, maintain and distribute all correspondence, records, reports, and statistics for student conduct and the Care Team.
- Coordinate logistics (catering, room reservations, etc.) for multiple events during the year that are sponsored by the DSO and the Associate Dean of Students.
- Manage access privileges to shared divisional computer folders and office software (Maxient, etc.).
- Provide administrative support to Student Government Association (SGA).
- Coordinate annual publication of the Student Conduct Code, Student Handbook, Crisis/Emergency Management Plan & Faculty Staff 911 Folders.
- Attend major campus events (specified orientation weekend events, Family Weekend, Alumni Weekend, etc.) as requested by supervisors.
- Other duties as assigned by the Dean of Students, Associate Dean of Students and Director of Multicultural Affairs.
Education, Experience, Skills, and Abilities :
- Bachelor’s degree preferred
- Experience working in higher education preferred
- Strong organization skills with the ability to work effectively independently and with others
- Proficient with Microsoft Office and possesses the ability to learn Maxient and other College computer systems
- Strong verbal and written communication skills
