Job description
OFFICE MANAGER
Purpose: The purpose of this position is to assist the retail brokerage team by ensuring the team’s success through keeping things organized, managing the day-to-day workloads, creating and updated marketing materials. The position will also act as the executive assistant to the lead broker, as well as being the liaison between the corporate office in Dallas.
RESPONSIBILITIES (INCLUDE BUT ARE NOT LIMITED TO):
BROKER ADMINISTRATIVE:
- Prepare, organize, and assemble all client tour books
- Assist with placing order for aerials/maps
- Prepare & organize presentations and/or meeting materials & pitches
- Pull demographic information from database and organize into presentation form
- Coordinate and book all work related travel & prepare reimbursement requests
OFFICE ADMINISTRATIVE:
- Tend to all front desk & reception duties
- Keep conference room meeting schedule
- Order all office supplies/snacks and maintain monthly inventory list
- Check and distribute mail
- Coordinate Fed-Ex shipments
- Keep office organized and in good working order
- Assist in planning all company lunches, happy hours, & special events
- Coordinate with Property Manager for maintenance issues and access card orders
DESIGN & MARKETING:
- Design all property leasing flyers
- Update and manage all property site plans
- Design and order leasing signs for team
- Update and add properties & tenants on SHOP website
- Assist with creating and editing aerials when necessary
EXPERIENCE REQUIREMENTS:
- Office Management or Executive Assistant
- Microsoft Office Suite
- Adobe Creative Cloud (Photoshop & InDesign) preferred.
