Job description
Our client is a small, boutique meeting and event planning company that is looking for an Executive Assistant to provide support for the President & CEO of the company.
This position provides high-quality administrative and clerical support to proactively meet deadlines and communicate effectively. The ideal candidate should have previous experience as an Executive Assistant and be familiar with office management technologies.
Responsibilities:
- Directly manage one administrative employee while providing liaison directives to other employees in respective to CEO communication needs.
- Maintain detailed calendar of appointment schedules for business meetings, conferences, domestic/international travel arrangements, and special events.
- Oversee extensive domestic and international travel arrangements for Executive, VIP clients, and staff including air, hotel, car transfers, special tour events, restaurant reservations, and all billing aspects.
- Prepare resources for all client meetings to include professional print materials, PowerPoint presentations, and agenda make.
- Work closely with CEO to support the strategic goals of the organization, objectives, and priorities.
- Oversee a wide variety of administrative functions to support client projects including meeting agenda creation, note-taking, data organization, and document creation/editing.
- Manage new staff onboarding to include arranging the correct equipment for their desk, start packs, making introductions, and touring the office.
- Handle confidential material with utmost care and respect.
- Support the order management of all gifts/merchandise and promotional mailers for events.
- Provide sales support to the CEO for site sourcing and proposal / contractual management for all hotels and clients.
Key Traits:
- 3-7 years of experience assisting a senior executive.
- Independent self-starter who loves the challenge of exceeding expectations; ability to think outside the box.
- Strong experience in managing domestic and international travel.
- High energy, positive thinking individual that is highly reliable.
- Ability to remain calm and composed under stressful situations.
- Strong ability to manage multiple, conflicting tasks and meet deadlines as assigned.
- Experience in exercising discretion and confidentiality with sensitive company information.
- Full understanding of Microsoft Office Suite (Outlook, Word, Excel, Powerpoint).
Annual Salary: $60,000-$70,000 (depending on experience) plus bonus opportunities and benefits.
