CONTEXT OF POSITION
The Associate Budget and Operations Analyst position is situated within Ecology Action's (EA) Community Programs (CP) Division. This position works in partnership with individual program managers, CP's Development & Fundraising team, EA's Accounting team and the CP Operations Director to support the development, administration and maintenance of individual program budgets and staffing plans, in addition to the overarching CP budget. The Associate Budget and Operations Analyst will also work in partnership with the CP Operations Director to support efforts related to the development and/or improvement of CP technical and administrative processes, policies and workflows insomuch as they relate to budgeting and staff planning.
SUMMARY OF POSITION
Under general supervision, this position:
- Supports budget development, maintenance, and administration.
- Supports and ensures accuracy of accounting of CP programs.
- Partners with the Development team and the Operations Director
- Other duties as assigned.
RESPONSIBILITIES
- Supports budget development, maintenance, and administration with duties including, but not limited to:
- Working in partnership with individual program managers, the Development team, and the Operations Director in a support capacity for the development, administration and maintenance of individual program budgets and staffing plans, in addition to the overarching CP budget.
- Utilizing established automated systems to support regular (e.g. quarterly) budget and staffing updates and forecasting efforts based on secured and projected funding.
- Supporting the development of accurate budget tracking systems.
- Supporting the review of quarterly financial for CP and its programs.
- Working with supervisor to ensure that CP processes related to budgets and accounting articulate with those of EA's Accounting Department.
- Supporting on the development of processes and workflows related to budget reporting and outcome tracking.
- Supporting all CP staff regarding necessary budget-related processes, policies and workflows (including training).
- Supports and ensures accuracy of the accounting function at the program level with duties including, but not limited to:
- Support program managers with the development of New Funding Checklists and help facilitate the onboarding of contracts with the accounting team.
- Work with program leads and Accounting team to administer many grants over multiple budget years.
- Assist program managers, as needed, with timekeeping - and other expense - allocation accuracy.
- In collaboration with the Program Managers and Accounting team, offer support with balancing budgets to ensure proper tracking of spent funds. Produce accurate and timely invoices and reporting independently and with the Accounting Department.
- Partners with the Development team and the Operations Director with duties including but not limited to:
- Supporting development of program budgets for proposals.
- Assisting with the development of program budgets for proposals as required.
- Other duties as assigned.
EDUCATION AND EXPERIENCE
- 2+ years of high-level, independent budget management experience working with sizeable budgets.
KNOWLEDGE, SKILLS, AND ABILITIES
- Ability to develop and manage multiple budgets with impeccable accuracy.
- Ability to develop and execute detailed implementation and management plans incorporating objectives and details from multiple grants.
- Ability to work effectively across departments and teams.
- Excellent time management and prioritization skills.
- Excellent and professional verbal and written communication skills.
- Strong and professional interpersonal, relationship building, and facilitation skills with staff members and partner agencies
- Proficiency with budget and accounting software and associated best practices.
- Proficiency with variety of technological programs and the ability to quickly learn new programs. CP currently uses Microsoft Office Suite, Outlook, Teams, Asana and OneDrive, among others.
PREFERRED QUALIFICATIONS
- Associates, Bachelor's, and/or advanced degree in Accounting/Finance, Environmental Studies, Education, Community Studies, or similar degree.
- Budget management experience within the nonprofit sector.
- Experience with project management fundamentals (work plan, schedule, resourcing, and budget management).
