Basic Responsibilities

  1. Supporting GST students through the entire cycle of their engagement at ACU, including recruiting, admissions, program completion, academic advising, and alumni relationships

  2. Responsible for recruiting and admissions for MFT students 

  3. Working closely with the respective program directors to schedule and lead events for the school, including recruitment, programmatic, retention efforts, career development, and alumni recognition

  4. Perform various administrative duties in the Graduate School of Theology and various personal assistant duties for Associate Dean

Essential Duties

  1. Supporting GST students through the entire cycle of their engagement at ACU, including recruiting, admissions, program completion, academic advising, and alumni relationships

    1. Assist and/or coordinate special recruiting events on and off campus, targeting prospective students for the GST programs, working in conjunction with existing marketing and recruiting events. 
    2. Provide support for applicants, including but not limited to assistance with application, financial aid, campus tours, responding promptly to all calls, emails, and letters, and maintaining contact through social media networks

    3. Maintain consistent personal communication with prospective students.

    4. Work with Associate Dean and CBS Executive Assistant to communicate scholarship awards to students and Student Financial Services and maintain scholarship records

    5. Enroll students in courses and help manage paperwork for academics

    6. Assist students by performing appropriate follow-up and coordination with team members. This includes working with employees in a team environment and providing accurate student information and assistance to other team members in and/or outside of their functional area

    1. Assist and/or coordinate special recruiting events on and off campus, targeting prospective students for the MFT program, working in conjunction with existing marketing and recruiting events.
    2. Provide support for applicants, including but not limited to assistance with application, financial aid, campus tours, responding promptly to all calls, emails, and letters, and maintaining contact through social media networks

    3. Maintain consistent personal communication with prospective students until the enrollment process is complete and the department administrative coordinator takes over the student engagement process

  2. Working closely with the respective program directors to schedule and lead events for the school both on and off campus, including recruitment, programmatic, retention efforts, career development, and alumni recognition.

    1. Cooperate with the office of Alumni Relations to maintain communication with GST alumni
    2. Attend all GST faculty meetings in order to better understand and reflect the cultures of the department

    3. Flexibility to be away from home multiple days or weekends as needed

    4. Complete productivity reports, expense reports, and administrative tasks in a timely manner

     

  1. Perform various administrative duties in the Graduate School of Theology and various personal assistant duties for Associate Dean.

    1. Research and provide information for various reports and assessments (both within the University and for outside accreditation bodies
    2. Manage GST office (stock supplies, manage files, supervise student employee)

    3. Collaborate with Associate Dean for departmental website content

    4. Process paperwork to assist the GST office

    5. Coordinate Graduate Assistants for the Graduate School of Theology

    6. Generate and disseminate communication from GST office to students

    7. Maintain student forms, files, and databases

    8. Address or redirect other student needs and requests as needed

    9. Coordinate appointments, correspondence and meetings

    10. Arrange and expense travel if needed

    11. Other duties as needed

    1. Exceptional interpersonal communication skills, both verbal and written
    2. Strong planning, organizational, and time management skills

    3. Utilizes critical thinking and problem-solving skills

    4. Excellent command of professional presentation skills and be comfortable presenting to groups both large and small

    5. Proficiency in Microsoft Word and Excel 

    6. Proficiency in Google Drive – Mail, Calendar, Docs and Sheets

Qualifications

  1. Professional

    1. Bachelor's degree and three years of office experience preferred
    2. Good office skills

    3. Self motivated – must be able to manage multiple projects and deadlines

    4. Good organizational skills and attention to details

    5. Must function efficiently and maintain self-control in stressful situations

Physical Demands

A.  Able to carry boxes or other items weighing 15-20 pounds

B.  Able to work at a computer for long periods of time

C.  Able to work some after hours and occasional overnight, out-of-town travel
