Job Description: This position provides technical support to the University Senate and the Office of the Registrar with dual reporting to the Manager of University Senate Affairs and the Sr. Associate Registrar. The Senate Operations Coordinator provides technical support to the University Senate Affairs manager and Senate Committee on Curricula regarding curriculum-related rules and regulations during curriculum review and processing; conducts research and provides resolutions to issues regarding curriculum, course/class scheduling, and course setup inquiries from administrators, faculty, staff, and students.
Technical support to the Office of the Registrar includes the creation and updating of new and revised courses in the SIS systems; program and general catalog updates in the University's online course catalog system, as well as production of the course catalog annual pdf publications. The position also provides course/class scheduling, as well as support for scheduling and grading issues and inquiries.
Qualifications: - A Bachelors degree is required for this position or a comparable combination of education and three (3+) years of experience.
Job Specific Qualifications: - Knowledge of PeopleSoft Tools a must; knowledge of Data Insights a plus
Responsibilities: Assist the Sr. Assistant Registrar for Class Scheduling, duties include but not limited to:
- Process day, time, room (DTR) requests for ten schools/colleges,
- Schedule final exams for all schools and colleges,
- Assist in Course/Class Scheduling training sessions,
- Mitigate and investigate enrollment errors,
- Respond to grading inquiries and errors,
- Work with Campus Planning, Design, and Construction (CPDC) to update classrooms and resources,
- Move classes and events during emergency situations,
- Work with Associate Provost for Academic Programs on exception requests for class scheduling,
- Respond to Orange Tracker Tickets regarding course/class setup and Enrollment Restrictive Group inquiries,
- Utilize Data Insights (Tableau) for course/class setup, provide information to academic coordinators,
- Meet weekly with Functional Business Analysts, Assistant and Associate Registrars, and University Registrar for 25Live Pro technology updates and review,
- Schedule Academic Events, assign classes, and run reporting in 25Live Pro as needed
Manage workflow of course proposals approved by the University Senate within the Office of the Registrar utilizing various systems including:
- Creation, revision, or inactivation of courses in the PeopleSoft system, as well as the online catalog system where applicable,
- Process all Academic Rules, Other Programs and General Information updates for the Syracuse Universitys course catalogs annually.
- Manage creation of Syracuse Course Catalog PDF, including exporting documents from course management system, formatting according to prescribed guidelines, review, and editing of annual University catalog and resulting pdf to meet Syracuse University standards.
Technical support to the Manager, University Senate Affairs and the Senate Committee on Curricula, including but not limited to:
- Provide technical support and system information to the Senate Committee on Curricula regarding PeopleSoft course data and course/class setup,
- Research and resolve issues involving course data and/or course/class setup within the PeopleSoft system,
- Act as point of contact resource for school/college administrator inquiries regarding course/class set up and general curriculum rules and procedures,
- Provide course curriculum system training as needed,
- Assist with preparation of University Senate records and reports as needed.
- Act as back up to the Manager, University Senate Affairs, and the Sr. Assistant Registrar for Academic Scheduling in their absences.
- Act as point of contact for all associated duties regarding curriculum, the University Senate, and course class scheduling during instances when the Manager for University Senate Affairs or the Sr. Assistant Registrar for Academic Scheduling are unavailable.
- Other duties as assigned.
