Executive Assistant Job Description
The Executive Assistant position entails working directly for the CEO, assisting him with the administrative responsibilities. This role includes vision alignment and execution of the strategic goals as developed by the CEO and the other leadership positions within and without the Foundation. The EA will also be responsible for operating within the Foundation’s priorities and focusing on its work with its local and international partnerships. The EA will also be responsible for assisting the CEO with his current and future for-profit entities. The man or woman who is a great candidate for this role will be a person of high character and possess a proven track record of assisting the CEO effectively and proficiently.
Objectives of this role:
- Support the CEO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
- Maintain and refine internal processes that support high-ranking executives company wide, and coordinate internal and external resources to expedite workflows
- Manage communication with employees by liaising with internal and external executives on various projects and tasks
- Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
Essential Responsibilities:
- Coordinate all the various departments to ensure that business runs smoothly.
- Serves as a resource to the board of directors and key committees, assisting them in matters of policy formulation and strategic planning.
- Recommends and administers policies, procedures and processes in support of Foundation goals and operations, in accordance with relevant legal parameters, and implements and monitors compliance with approved policies, procedures and processes.
- Participates in/on various meetings, committees, taskforces and/or other related groups to communicate information about the Foundation and its initiatives.
- Performs other related duties as assigned.
- Run errands as needed for CEO
- Manage scheduling for the CEO
- Draft, review and send communications on behalf of the CEO.
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Answer and respond to phone calls, communicate messages and information to the CEO
- Prioritize emails and respond when necessary
- Coordinate travel arrangements
- Non-profit experience required.
- Excellent written and verbal communication skills
- Time-management skills

- Ability to multitask
- Intermediate understanding of frequently used computer software and programs, such as Microsoft Office
- Interpersonal skills
- Four or more years of experience in an administrative role reporting directly to upper management
- Excellent written and verbal communication skills
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- Proficiency with office productivity tools and an aptitude for learning new software and systems
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Maintain various records and documents for the CEO
