Position Summary:

The CAES Business Manager oversees and coordinates fiscal operations for assigned departments and units. The incumbent has supervisory responsibility and serves as a liaison to the Tifton and Griffin business staff to facilitate effective workflow and operations. This role will focus on the Department of Entomology, with support to other CAES departments and units as directed by the Director of Business Services.

The employee reports to and receives leadership from CAES Business Services. This role will receive guidance from the Department Head of Entomology to ensure faculty, staff, and departmental needs are met. Working collaboratively with the College of Agricultural & Environmental Sciences (CAES) Business Office and the CAES Contracts & Grants, the incumbent will support departmental faculty in the development of budgets for grants and contracts. Duties/Responsibilities:

  • Prepares and administers all departmental accounts and budgets – this includes monitoring and reviewing all expenditures for funding, reporting, and policy compliance, performing analyses, processing requisitions, and providing projections.
  • Oversee and participate in accounting functions including but not limited to quarterly amendments reviews, processing and approving budget transfers to budget account codes and move funds between chart strings, GL Journals to correct actuals and process intra-university payments, Budget Journals to budget DSS and Various accounts for revenue, and run queries to provide fund balances to faculty and other personnel.
  • Participates as a critical member of the department’s senior administrative team.
  • Assists Department Head in the preparation of the annual departmental budget; monitors spending rate and adjusts fund allocations in consultation of the Department Head; oversees year-end closing.
  • Oversees daily processing and accounting for revenue and expenditures; audits and reports financial transactions to funding sources; ensures accuracy and availability of funding and compliance with standard accounting and audit procedures – including independent review of departmental purchasing card transactions.
  • Oversees all department grant closeouts in conjunction with the College’s Contracts & Grants Office.
  • Analyzes budget expenditures for compliance with approved budget, researches problems, and handles accordingly.
  • Ensures proper internal controls are in place for all applicable administrative functions.
  • Serves as liaison between the assigned department/unit, the College of Agricultural and Environmental Sciences business staff, and other central University units. May be necessary to go to other UGA campus locations to provide oversight and support.

  • Supervises assigned staff; assigns work and special projects; monitors workload and productivity; evaluates performance and makes recommendations; promotes staff training and development; provides assistance in analyzing and resolving complex issues.
  • Engages regularly in professional development opportunities.
  • Assists, resolves, and reviews fiscal related matters with departmental budgetary units located on Griffin and Tifton campuses via e-mail, webinar, & phone conferences with extended campus support personnel.
  • Advises departmental staff and faculty on changes in financial policies and procedure.
  • Collaborates with the Administrative Staff on management of human resources related activities and day-to-day operations of department.
  • Coordinates and facilitates feedback from Department Heads of assigned units.
  • Performs miscellaneous job-related duties as assigned.
