JOB SUMMARY

The Program Manager plays a crucial role in the recruitment and selection of prospective graduate business students. This position involves overseeing various aspects of the admissions process, including but not limited to lead outreach, applicant tracking, interviewing candidates, and evaluating scholarship and admission decisions. This position will partner with internal and external University partners to increase the number of applications from targeted populations to graduate business programs, including MS and Graduate Certificate programs.

The Program Manager personally contacts and meets individually with prospective students to provide admissions counsel and guidance. The position is responsible for leading recruiting events, such as information sessions, open houses, class visits and external facing events for their assigned programs. The position requires broad knowledge of the St. Thomas graduate business programs’ defining characteristics, as well as active acquisition of information on competitive programs and their features. As a member of the Admissions Committee, s/he makes recommendations for admission and scholarships, and is responsible for admit and non-admit correspondence. The Program Manager assists in the achievement of annual enrollment goals and measures and reports results of recruiting activities regularly. Market knowledge acquired by the Program Manager is systematically captured and proactively shared with the immediate and cross-functional team as appropriate to support the improvement of the quality and competitiveness of the program. Strong communication skills, an understanding of the business school’s values and offerings, and a keen eye for identifying promising candidates are essential for success in this role.

ROUTINE DUTIES AND RESPONSIBILITIES:

• Daily responsibilities include communication with a large number of leads and applicants through phone outreach, texts, personal e-mails and notes
• Tracking and data entry of all engagements with students in Salesforce (event attendance, individual meetings, phone calls, emails, etc.)
• Recruiting and admissions event management and attendance for assigned programs
• Regular tracking of goals and projections for enrollment

ESSENTIAL FUNCTIONS

Recruiting

• Develops and executes recruitment strategies tailored to attract high-quality students to the MBA and MS programs.
• Identifies and executes strategy to attract target populations to MBA or MS programs.
• Leads communication and outreach efforts to undecided prospective students.
• Responsible for achievement of annual enrollment goals; uses data to record, measure, and report results of recruiting activities and funnel projections regularly.
• Establishes and maintains relationships with prospective and admitted students and external stakeholders to network and identify potential candidates.
• Acts as a representative of the MBA and MS programs at various events, recruitment fairs, information sessions, and webinars to showcase the programs locally and regionally. Assists in the planning and execution of program events, including but not limited to information sessions, class visits, webinars in partnership with the admissions team and program directors.
• Record, measure and report results of recruiting activities.
• Support Coordinator in lead nurturing activities.

Admissions/Candidate Evaluation

• Work with prospective students through application submission.
• Conduct admissions interviews and serve on the admissions committee.
• Utilize various technologies and software applications to inform or pivot recruitment strategy and communicate with applicants.
  
   

Administrative

• Identify and implement efficiencies in MBA admissions operations.
• Collaborate or coordinate with other departments, office and programs for procedures, opportunities, and efficiencies.
• Participate in University-wide activities and committees as appropriate.
• Participate and actively contribute at all levels of department staff meetings.
• Participate in department projects/events as needed.
• Other duties as assigned.

QUALIFICATIONS :

Minimum Qualifications

• Bachelor’s degree in a relevant field 
• Five years of program administration or office management experience

An equivalent combination of education and experience from which comparable knowledge and skills have been acquired may be substituted.

Preferred Qualifications

• Prior experience in admissions or recruitment, preferably in a higher education setting, particularly in MBA or graduate program admissions

• Excellent oral and written communication skills, including demonstrated effectiveness in public speaking and presenting, especially in conveying the unique value proposition of the MBA program in the context of the University’s Catholic identity

• Proven ability to build and maintain relationships with various stakeholders from diverse backgrounds, including prospective students, educational counselors, business leaders, faculty, and alumni

• Self-starter. Able to work independently, multitask effectively, foster teamwork, and partner with stakeholders as appropriate

• Strong customer service skills and attention to detail

• Demonstrated work in a professional business setting
