Job description
What we’re looking for…
- We are looking for an Executive Assistant to support the President in a timely and professional manner. You will provide high quality administrative and clerical assistance in our New York office.
- Strong organization, attention to detail, prioritization and multi-tasking skills are a must!
- 1-3 years of personal assistant/executive assistant experience is required.
About the Position
Duties and responsibilities include the following (other duties may be assigned):
- Manages calendar of the Executive team and independently schedules appointments daily.
- Arranges travel accommodations for the President and Executive team by coordinating with airlines, hotels and/or travel agents.
- Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
- Directs preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings.
- Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
- Coordinates with Administration team to plan company events such as the Annual Holiday Party, company picnic and executive meetings.
- Manages and coordinates with family staff, vendors, and contractors for day-to-day items and various projects at multiple properties.
- Assists in performing miscellaneous tasks such as managing household inventory and vehicles, running errands, repairing household items, etc.
- Acts as a spokesperson for the President on all matters, sometimes making administrative decisions and taking action in the President's absence.
- Maintains a high level or confidentiality and trust.
Work Schedule
New York Office 9:00 am – 6:00 pm EST
Qualifications
- Bachelor's degree
- 1-2 years of experience as an Executive Secretary, personal assistant, or equivalent.
Computer Skills
To perform this job successfully, an individual should have knowledge of Microsoft Office.
Salary $60,000-70,000 annually based on educational level and experience.
