Position Overview Hours: Minimum of 40 - 45 hours weekly Hours may be flexible as necessary to achieve program objectives, tasks, activities, responsibilities and to effectively document outcome measures and variances. Summary Description: Oversee, coordinate, and evaluate daily operations, special projects/activities, service delivery and documentation for clients residing in emergency shelter.
Essential Duties and Responsibilities - Ensures 24-hour shelter coverage of emergency shelter for victims of domestic violence and sexual assault as well as ensures safety and security of facilities for those residing in the shelter.
- Oversees the effectiveness, ethical practice, professional and credibility components of client services for groups and activities for the shelter and its clients.
- Plans, develops, implements, and maintains all shelter services that promote safety, healing, and empowerment and that is responsive to the adults, children and families living in the shelter.
- Ensures shelter processes, procedures and documentation ensures safety and remains client-focused, therapeutic, and culturally competent
- Serve on a rotating emergency on-call manager schedule for to work at shelter when needed.
- Interfaces with clients to maintain a cohesive environment; p rocesses clients’ grievances as they arise.
- Coordinates projects as applicable with other departments and staff; o versee the implementation of client orientation
- Assist with agency tours and orientation of visitors to the shelter location
- Provide on-going monitoring of project outcomes and continuous implementation of enhancements of the shelter (basic needs) program.
- Ensures the food services program operates within annual budget allotted to the program
- Ensures timely submission and organization of food production records, recipe analysis worksheets, and menus
- Oversee and ensure the quality of Children’s Services, including childcare lesson planning and activities; e nsures the childcare program is in compliance with Shelter Childcare Minimum Standards to include the hours of operation ; oversees the safety, security, and general welfare of children utilizing the childcare facility
Other: - Assist with preparation for annual audits, program grant reports and monitorings
- Evaluate, provide, and initiate re-training regarding documentation, delivery/tracking of services
- Maintain knowledge of overall agency objectives, activities, and client assistance resources
- Make recommendations to the Programs Director, for service related policies and procedures that are within the philosophy and mission of the agency
- Assist in determining the annual budget for all shelter program operations
- Communicate emergency/critical situations to the Programs Director in an expedient manner
- Attend and actively participate with inter-agency coalitions and networking groups as assigned; Attend supervisors and combined staff meetings
- Ensure staffing needs are met in a timely fashion
- Other duties as assigned
Education and Other Requirements - 4-year degree with a minimum of 2 years related administrative experience, or a minimum of 6 years strong experience in a related environment with demonstrated effectiveness
- Must have or obtain Food Managers Certification within 45 days of hire
- Organize and prioritize multiple and changing workload.
- Communicate openly and clearly, both orally and in writing, modeling leadership and teamwork; make logical decisions that are reflective of the philosophy, mission, and management style of the agency and that benefit the shelter and/or the agency as a whole
- Evidence successful experience in liaison work with the community from a social service non-profit setting; able to understand and communicate total agency objectives and mission
- Evidence successful experience in operating childcare and 24-hour residential facilities
- Sensitivity to clients and volunteers and understand the agency's position within the community and with related social service providers
- Ability to lift/carry/move a minimum of 40 lbs. for an extended distance
- Must have a clean driving record and be insurable; must have a valid driver’s license and maintain automobile insurance
