Event Coordinator- Full-Time
Join our team in Hyde Park, Chicago
We are looking for an enthusiastic and skilled Event Coordinator to join our team at a prestigious historical venue. As the Event Coordinator, you will play a key role in managing events of all sizes and types. Working closely with our Operations Director, you will oversee the smooth running of our venue on a daily basis.
Hire Date: Immediate will last around 8 months with potential to extend.
- Collaborate with clients to create exceptional event experiences from planning to execution.
- Cultivate and maintain strong relationships with clients and vendors.
- Oversee events to proactively address any issues that may affect client and guest satisfaction.
- Welcome and guide clients and vendors through walk-throughs and rehearsals, providing expert advice.
- Monitor and manage communications related to assigned events across various platforms.
- Effectively communicate and share valuable insights on client, vendor, and team experiences for each event.
- Ensure accurate inventory management, including beverages, office supplies, and cleaning materials.
- Provide comprehensive notes on events, covering planner and catering experiences, maintenance concerns, and more.
- Generate innovative floor plan ideas to bring the client's vision to life.
- Set clear task timelines in Triple Seat for efficient action and follow-up.
- Identify opportunities for process improvements and suggest innovative changes to enhance workflow.
- Ensure completion of all checklist tasks at the beginning and end of each event.
- Build partnerships with local businesses to drive collaborative initiatives.
- Carry out additional assigned duties to contribute to the dynamic success of our team.
Requirements
Requirements:
- 2+3 years of experience in event coordination or a similar role.
- Strong communication skills.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Availability for overtime work and weekends.
- Ability to maintain discretion and confidentiality.
- Team player with excellent organization skills.
- Responsive to unexpected and urgent matters with professionalism.
