Our client is a leader in the development and supply of Single-Point Mooring (SPM) systems and is engaged in research involving new and improved tanker mooring systems and associated components. Projects range from preliminary design studies to major engineering, fabrication, and procurement projects that include installation and commission. Projects supplied by the company include marine terminals for product import/export, turrets, tower yoke, and spread moorings for tanker-based floating production, storage and offloading (FPSO / FSO) systems installed in the water a depth ranging from 30 feet to 5,000 ft

- Answer Cisco Telephone System and direct to appropriate person.
- Make sure visitors sign in/out, create visitor badges, and communicate the intended person to see.
- Independently provides support for all company employees and visitors.
- Time management - Manage calendar and workday to ensure maximum time efficiency is achieved, anticipating, and initiating appropriate actions as required.
- This role is required to handle a wide range of duties, tasks and requests as well as anticipate the needs or issues of the company.
- Produce and assist with PowerPoint, Word, and Excel documents.
- Coordinate meetings with internal and external representatives, including arranging any hospitality and catering requirements with other administrative assistants.
- Admin Support for HR and other departments as required.
- Provide administrative support for recruitment activities; responsible for submitting requests for on-boarding forms to HR and building manager; act as liaison between HR, building manager and other supervisors when required.
- Coordinates with external vendors to receive and scan external invoices to appropriate accounting department.
- Coordinates with other administrative assistant’s lunch events and celebrations.
- Assists Building Manager and/or employees with resolution of issues associated with building services.
- Maintain the reception area clean and stocked with water and coffee supplies as needed

Education/Training/Certifications
- Relevant education and a minimum of 1 years’ experience in the administrative field; or an equivalent combination of experience.
