Job description

Job Duties:

1. Scheduling service appointments in person and over the phone and ensuring it is being scheduled for the right technician and for the proper amount of time.

2. Document all customer repair needs by walking around the trailer with the customer at the time of check in to ensure accuracy of the repair order write up.

3. Answer phone calls from customers and assist with basic troubleshooting.

4. Work directly with Service Technicians to communicate customers complaints and to keep informed of progress.

5. Keep customers informed of the status of the repairs being performed on their trailers and making notes every time you have communication with them.

6. Writing estimates for retail repairs requested by customers and gaining approval to perform the repairs from the customer.

7. Perform quality control inspections on every trailer to ensure repair accuracy.

8. Track and monitor service unit inventory to ensure customer’s trailers are not here longer than 30 days.

9. Contact extended service companies to gain authorization to perform repairs and submit necessary information to them for payment.

10. Document and estimate body damage repairs and work with insurance companies to collect payment for repairs performed.

11. Review repair order for accuracy of spelling and correct as necessary.

12. Upsell ad on items and services.

13. Keep the sales department informed of repairs and cost of repairs being made on used units that are in for service.

 

Other Duties to be Performed when the Service Manager is absent:

 

1. Review in process repair lines weekly through the Mechanic Flagging Reports in Motility.

2. Close monthly repair order at the end of each month and review for accuracy.

3. Keep open repair order list up to date and cleaned up.

4. Ensure employee compliance training is up to date.

5. Print daily schedules and put in the tech’s inboxes.

6. Review Kennect inbox for service-related messages and assign conversations to the correct person.

7. Ensure general service voicemails are returned timely.

8. Ensure accuracy and cash out policy repair orders to proper GL accounts.

9. Review vendor invoices and ensure they are billed to the proper GL accounts.

10. Ensure company vehicles are properly maintained.

11. Assist all employees that report to the Service Manager with any technical issues.

12. Perform employee reviews and one on one meetings.

13. Schedule and run new owner’s workshops.

14. Schedule relevant training for technicians to attend.

15. Run weekly tech meeting to discuss processes and procedures as well as trailer issue resolutions.

16. Write estimates for sales trades in need of repair.

17. Order service office supplies.

18. Order items from Amazon as needed.

19. Help to ensure that the Warranty department meets their goals.

 

Qualifications:

1. 5+ years of RV Service experience.

2. Strong customer service skills.

3. Strong administrative skills.

4. Mechanical knowledge and/or automotive/RV systems knowledge.

5. Capable of problem solving.

6. Stable under pressure.

7. Ability to work in a fast-paced environment and multi-task.

8. Strong ability to read, write and communicate in English.

9. Ability to resolve customer conflicts under pressure.

10. Must pass a pre-employment drug test which includes testing for marijuana.

 

Physical & Mental Requirements: Strong attention to detail, take direction well, quick learner, ability to climb ladders and stairs, must be able to lift 50 lbs., bend, stretch, sit and stand for extended period of times.

Environmental & Working Conditions: Most duties performed in an office environment with customer interactions. Occasionally will need to work in the shop or outside in all weather conditions.
